What You'll Do

As an Expeditor at arenaflex, you'll be at the heart of our aircraft parts procurement and logistics operations. Your role is essential to ensuring that our maintenance teams have the parts they need, when they need them—keeping our aircraft safe, compliant, and ready for service. This is a fast-paced, high-impact position that requires strong coordination skills, attention to detail, and the ability to thrive under pressure.

Here's what you can expect in this role:


  • Vendor Coordination & Parts Acquisition: Communicate clearly and effectively with external vendors and suppliers to expedite the arrival of critical aircraft parts on time, ensuring alignment with our organization's material goals and maintenance schedules.

  • AOG Support: Respond to Aircraft On Ground (AOG) orders with urgency and precision, prioritizing emergency situations to minimize aircraft downtime and maintain our operational reliability.

  • Supplier Follow-Up: Track and follow up on past-due orders with suppliers, ensuring timely delivery and resolving any delays that could impact our maintenance operations.

  • Maintenance & Transport Planning: Coordinate maintenance and transport arrangements, along with inventory reports, to determine the precise need for materials required to support ongoing and upcoming projects.

  • Cross-Functional Communication: Provide transportation and logistics information to critical workgroups across the organization, ensuring seamless coordination between departments.

  • Fleet Management Records: Update and maintain Flight Maintenance Release (FMR) or log pages with current vehicle and aircraft information, ensuring all records are accurate and up-to-date.

  • Reporting & Analytics: Create and maintain Excel-based reports, status updates, and visual dashboards that provide clear visibility into procurement performance, inventory levels, and delivery timelines.

  • Procurement Systems Management: Maintain appropriate purchasing records and data within our purchasing software programs, ensuring data integrity and compliance with company policies.

  • Purchase Order Support: Assist Buyers with obtaining clarifications and tracking purchase order status, facilitating smooth communication between internal teams and suppliers.

  • Discrepancy Resolution: Work collaboratively with internal departments and external suppliers to address any discrepancies in shipping, invoicing, quality, part numbers, and quantities that could impede operations.

  • Invoice Issue Resolution: Support What Supervisors in resolving invoice discrepancies and payment issues, ensuring financial accuracy and vendor satisfaction.

  • Safety Collaboration: Work with the Vendor Management team to identify and address potentially hazardous situations, maintaining the highest safety standards throughout our supply chain operations.

Essential Qualifications


  • Education: Associate's degree in a related field (such as Supply Chain Management, Logistics, Business Administration, or equivalent) OR equivalent combination of education and experience.

  • Experience: Minimum of 1 year in warehouse operations, as an Expeditor, or in a Supply Chain/Logistics role.

  • Technical Skills: Strong proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.

  • Analytical Abilities: Strong analytical skills with the ability to interpret data, create reports, and identify trends.

  • Problem-Solving: Excellent problem-resolution skills with a proactive approach to identifying and addressing issues before they escalate.

  • Innovation Mindset: Ability to think "outside the box" and contribute creative ideas for process improvement.

  • Multitasking Capabilities: Capacity to manage multiple tasks simultaneously while handling interruptions and adapting to changing priorities.

  • Previous experience in aviation maintenance, MRO (Maintenance, Repair, and Overhaul), or airline operations.

  • Familiarity with inventory management systems and procurement software.

  • Knowledge of FAA regulations and airline industry standards.

  • Experience with Enterprise Resource Planning (ERP) systems.

  • Certification in supply chain management (such as APICS or ISM certifications).
