What You'll Do For Us
As a Customer Operations Advisor at arenaflex, you'll play a pivotal role in coordinating equipment service requirements and ensuring our Foodservice customers receive world-class support. This dynamic position encompasses the coordination of new installations, replacements, flavor changes, equipment removals, and a wide variety of special projects that keep our beverage operations flowing smoothly.
Primary Responsibilities Include:
- Lead Customer Communications: Serve as the primary contact and trusted arenaflex Ambassador for diagnosing service issues and understanding business needs. Adopt and implement programs that enhance customer satisfaction and operational efficiency.
- Stakeholder Management: Provide timely, accurate updates to all stakeholders while troubleshooting operational issues. Steward crucial information to key decision-makers and Sales Executives, ensuring everyone stays informed and aligned.
- Project Coordination: Coordinate logistical details for restaurant closings, relocations, and remodels, ensuring seamless execution that minimizes disruption to our customers' operations.
- System Tracking & Monitoring: Monitor and track all activity in Thirsty, QuickBase, and/or other proprietary tracking systems. Maintain meticulous records that support continuous improvement initiatives.
- Installation Scheduling: Schedule installations, exchanges, buy-backs, or removals using arenaflex's advanced information systems, ensuring fulfillment that consistently meets or exceeds customer expectations.
- Issue Resolution: Research and resolve varying issues using information systems, providing expedient service, installation support, or order processing that keeps our customers operational.
- Customer Confirmations: Confirm service details with customers, including thorough follow-ups and order confirmations, to ensure complete customer satisfaction at every touchpoint.
- Asset Management: Manage the sourcing and delivery of assets and/or parts, utilizing arenaflex information systems to maintain optimal equipment availability.
- Inquiry Management: Handle inquiries and feedback diligently, maintaining comprehensive records in database tools to improve overall service performance and identify trends.
- Partnership Development: Establish strong partnerships with customers, clients, or third-party service providers to achieve shared goals and continuously improve service delivery.
- Order Processing: Process and expedite orders while effectively communicating demand for products or services across the organization.
Qualifications & Requirements
Education & Experience:
- High school diploma, GED, or an Undergraduate degree in Business Administration, Logistics, Supply Chain, or a related field.
- Minimum 2+ years of customer-facing experience in a call center, sales, or sales support role.
- Demonstrated background in beverage installations or related technical fields is highly preferred.
Essential Skills & Competencies:

- Relationship-Building Excellence: Natural ability to connect with customers, understand their needs, and foster long-term partnerships based on trust and mutual success.
- Technical Proficiency: Proficiency with technical software applications, including CRM systems, tracking platforms, and Microsoft Office Suite.
- Account Management Expertise: In-depth knowledge of Account Management including stewardship techniques and continuity of supply to ensure lasting, profitable partnerships.
- Problem-Solving Acumen: Excellent analytical and problem-solving skills with the ability to quickly identify issues and implement effective solutions under pressure.
- Leadership Capabilities: Strong leadership qualities that enable you to take initiative, guide customers through complex processes, and drive results.
- Industry Knowledge: Familiarity with distributor and distribution policies, along with an understanding of supplier fulfillment capabilities to meet customer and internal requirements.
- Technical Aptitude: Understanding of HVAC systems, refrigeration systems, and equipment installations is a significant advantage.
