About the Role: Customer Service Specialist – Remote

We are currently seeking a passionate and dedicated Customer Service Specialist to join our dynamic remote team. This is a full-time position serving patients and healthcare providers throughout the United States. In this role, you'll be the frontline voice of arenaflex, interacting with patients, caregivers, and healthcare referrals to ensure seamless delivery of medical equipment and services.

What You'll Do: Key Responsibilities

As a Customer Service Specialist at arenaflex, you'll play a crucial role in our patient care continuum. Your daily responsibilities will include:


  • Multi-Channel Customer Interaction: Handle continuous work volume by interacting with patients and referrals through inbound and outbound phone calls, email, fax, chat, text, web inquiries, and other electronic communication channels. You'll be the friendly voice (or written word) that patients and healthcare providers turn to when they need answers.
  • Order Processing & Management: Receive and process order requests from healthcare referrals for durable medical equipment and healthcare services. This includes accurately inputting data, verifying insurance information, and ensuring orders are routed to the appropriate fulfillment teams.
  • Status Updates & Information Provision: Provide accurate, up-to-date information regarding the status of new orders, resupplies, pickups, and equipment exchanges. You'll be the knowledge source that keeps patients informed and at ease throughout the delivery process.
  • Professional Customer Interactions: Demonstrate professionalism and provide high-quality service when interacting with patients, caregivers, and healthcare referrals. Every interaction is an opportunity to build trust and reinforce arenaflex's reputation for excellence.
  • Complaint Resolution: Resolve patient and referral complaints and escalations with urgency. This involves identifying the root problem, troubleshooting equipment issues, and coordinating appropriate corrective actions to ensure patient satisfaction and safety.
  • Needs Assessment: Assess patient and referral needs, identify satisfactory resolutions, and provide high-quality customer service that exceeds expectations. You'll need to think on your feet and find creative solutions to unique challenges.
  • Regulatory Compliance: Comply with and adhere to all regulatory compliance areas, policies, procedures, and best practices. Healthcare regulations are complex, and your attention to detail helps keep patients safe and our organization compliant.
  • Quality Assurance: Follow quality program guidelines and procedures for all transactions to ensure we deliver the best possible service to every customer, every time.
  • Additional Duties: Perform other duties as required to support our team and ensure seamless operations.

What We're Looking For: Minimum Qualifications

To succeed in this role, you'll need:


  • Education: High School Diploma or GED required

  • Experience: 1-3 years of Call Center Experience preferred

  • Healthcare Background: 1-3 years of Healthcare and/or Health Insurance Customer Service experience preferred

  • Remote Work: Experience working in a remote environment is preferred

  • Language Skills: Strong English proficiency (reading, writing, verbal) is essential

  • Mathematical Skills: Basic level mathematical proficiency for processing orders and calculations

Physical Requirements

This is a remote position, but there are physical considerations to keep in mind:


  • This is a stationary position that requires frequent sitting or standing
