This position requires an on-site presence in the Tampa Bay area, Florida. You'll be working directly from our office, where you'll have access to both physical records and our digital systems. This role cannot be performed remotely due to the nature of handling confidential paper documents and the need for direct access to our physical filing systems.

What You'll Do: Key Responsibilities

As the QuickBooks Data Entry Specialist at arenaflex, you'll play a pivotal role in our financial modernization efforts. Your primary responsibilities will include:


  • Comprehensive Data Entry & Digitization: Systematically enter all paper invoices, handwritten checks, and associated financial documents into QuickBooks. You'll transform decades of financial history into searchable, organized digital records that our team can access and utilize for years to come.
  • Digital Records Management: Maintain accurate, well-organized digital financial records that clearly reflect all outgoing payments, incoming invoices, and financial transactions. You'll ensure every entry is properly categorized, coded, and linked to the appropriate vendor or expense category.
  • Financial Reporting & Analysis: Generate detailed reports in QuickBooks to track annual expenses across various categories. This includes producing comprehensive summaries of spending on utilities, vendor payments, operational costs, and other business expenses. You'll provide valuable insights that help our leadership team make informed financial decisions.
  • Quality Assurance & Cross-Reference: Meticulously cross-reference all paper records with digital entries to ensure 100% accuracy. You'll identify and resolve any discrepancies, maintaining the integrity of our financial data throughout the transition process.
  • Confidentiality & Security: Handle sensitive financial information with the highest level of confidentiality and professional discretion. You'll be trusted with proprietary financial data, vendor information, and payment details that are critical to our business operations.
  • Systematic Filing & Organization: Manage both physical and digital filing systems. You'll develop efficient organizational frameworks that make information retrieval simple and intuitive for current and future team members.
