Position Overview
As a Remote Customer Service Representative at arenaflex, you will play a critical role in our proxy voting support project. This position involves handling computer-generated outbound calls to shareholders across the country, guiding them through a simple scripted call flow designed to assist you in navigating conversations and recording their proxy votes accurately over the telephone. You will serve as the vital link between shareholders and the organizations they invest in, ensuring every vote is counted and every shareholder feels valued.
This is a short-term, project-based position that offers valuable experience in corporate governance, telecommunications, and professional customer service. You will have the opportunity to develop your skills while working with a supportive team in a fully remote capacity.
Key Responsibilities
As a valued member of our team, you will be responsible for the following duties:
- Outbound Call Handling: Manage computer-generated outbound calls to shareholders in a courteous, professional, and friendly manner, ensuring each interaction reflects positively on arenaflex and our client partners.
- Scripted Conversation Navigation: Utilize a simple scripted call flow to guide shareholders through the proxy voting process, providing clear explanations and answering questions as they arise while maintaining a natural, conversational tone.
- Accurate Data Entry: Update databases and records in an accurate and timely manner following each call, ensuring all shareholder information and voting preferences are properly documented.
- Issue Escalation: Recognize and escalate shareholder concerns or complex issues to supervisors when necessary, ensuring timely resolution and maintaining high customer satisfaction standards.
- Feedback Communication: Keep management informed of any shareholder feedback, suggestions, or trends observed during calls to help improve processes and customer experience.
- Performance Target Achievement: Meet all established targets for productivity, quality, attendance, and code of conduct, consistently striving for excellence in every interaction.
- Campaign Knowledge Maintenance: Stay up-to-date on campaign specifics, including new procedures, voting matters, and any changes to call flows or scripts.
- Inbound Call Response: Respond to inbound calls received within an acceptable time frame, addressing shareholder inquiries with the same level of professionalism and courtesy as outbound interactions.
- Email Inquiry Management: Respond to inquiries received via email or internet in a prompt, accurate, and professional manner.
- Training Support: Assist trainers in developing and training new Proxy Representatives as needed, sharing your knowledge and expertise with team newcomers.
- Administrative Tasks: Complete routine administrative tasks related to operations, training, or quality assurance as assigned.
- Quality Monitoring: Participate in quality assurance activities as a "peer monitor," assisting with call monitoring, pulling samples for review, and contributing to overall team quality improvement.
Technical and Workplace Requirements

- Remote Work Environment: Ability to work from home in a dedicated virtual environment with a professional setup.
- Equipment Requirements: USB wired headset with microphone for clear communication.
- Computer System: Laptop or Desktop computer running Windows 10 or macOS operating system.
- Multiple Monitors: Dual monitors are preferred for enhanced multitasking and productivity.
- Dedicated Phone Line: Personal landline or cell phone that can be dedicated during work hours for business communications.
- Internet Connectivity: Minimum 10 Mbps of high-speed internet connectivity (hotspot connections are not acceptable). Ethernet cable connection from router to computer is preferred for reliability.
- Quiet Workspace: A quiet, distraction-free space dedicated to work during your shift.
Essential Qualifications
Candidates must meet the following requirements to be considered for this position:
- Education: High school diploma or general education degree (GED) required.
- Experience: Six months of related experience and/or training; or equivalent combination of education and experience.
