Position Overview

The Client Experience Expert role is fundamental to arenaflex's success. You'll serve as the primary point of contact for customers across multiple communication channels, including phone, email, and live chat. Your responsibilities extend beyond answering questions – you'll be actively solving problems, providing product recommendations, processing orders, and gathering valuable customer feedback that drives continuous improvement across our organization.

This position requires a unique blend of interpersonal skills, product knowledge, and operational expertise. You'll collaborate with cross-functional teams including logistics, merchandising, marketing, and management to ensure customers receive the best possible service at every touchpoint.

Key Responsibilities


  • Customer Communication: Respond to customer inquiries through telephone, email, and digital channels with professionalism, empathy, and efficiency. Maintain a positive tone while addressing concerns and resolving issues.

  • Order Management: Process orders, handle cancellations, manage returns, and facilitate exchanges in accordance with company policies. Ensure accurate data entry and maintain detailed records of all customer interactions.

  • Product Assistance: Help customers navigate our extensive product catalog, providing detailed information about features, specifications, pricing, and availability. Offer personalized recommendations based on customer needs and preferences.

  • Issue Resolution: Collaborate with internal teams including logistics, operations, and product departments to resolve complex customer issues. Ensure timely resolution while maintaining high customer satisfaction standards.

  • Shipping & Fulfillment: Track shipments, coordinate delivery schedules, and assist customers with in-store pickup processes. Communicate proactively about order status and any potential delays.

  • Feedback Collection: Gather and document customer feedback regarding products, services, and processes. Share insights with relevant teams to contribute to continuous improvement initiatives.

  • Policy Compliance: Adhere to arenaflex's policies and procedures while maintaining up-to-date knowledge of any changes. Use customer service tools and software effectively to manage interactions and maintain accurate records.

  • Store Operations (if applicable): Maintain store appearance, assist with shopping cart recovery, fulfill online orders, and support in-store pickup and exchange processes.

  • Capability to handle customer pickups, in-store pickup processes, and outdoor cart recovery

Product Knowledge

  • Experience with order processing, cancellations, returns, fulfillment cycles, and exchanges

Preferred Qualifications


  • 1+ year of experience in a customer service setting, preferably in retail or e-commerce

  • 1+ year of experience interacting directly with customers, resolving issues while ensuring positive experiences

  • 1+ year of experience identifying and resolving customer issues, collaborating with teams to address challenges and find solutions to improve customer satisfaction

  • 1+ year of experience managing time effectively, handling multiple customer requests, prioritizing tasks, and ensuring timely responses

  • 1+ year of experience building customer relationships and resolving customer complaints professionally
