Bon Voyage Aesthetics is seeking a bilingual MedSpa Patient Care Coordinator / Spa Administrator to support their growing body contouring clinic specializing in Neveskin and T-Shape treatments. The role involves ensuring smooth clinic operations, managing patient communication, scheduling, and delivering exceptional client experiences.


Responsibilities

  • Answer incoming calls and respond to client inquiries
  • Schedule, confirm, and manage client appointments
  • Maintain daily clinic scheduling and appointment flow
  • Check clients in and out for treatments
  • Maintain a welcoming, professional spa environment
  • Educate clients about Neveskin and T-Shape body contouring treatments
  • Provide information on pricing, packages, and promotions
  • Follow up with clients after treatments when needed
  • Address client concerns and ensure a high level of customer satisfaction
  • Maintain accurate client records in CRM or booking systems
  • Ensure intake forms, waivers, and consent forms are completed
  • Assist clients with Good Faith Exam documentation when required
  • Maintain strict confidentiality of client information
  • Coordinate technician schedules and treatment rooms
  • Communicate client preferences and treatment details to staff
  • Ensure treatment rooms and equipment are properly prepared
  • Support efficient workflow between technicians and clients
  • Educate clients about treatment packages and memberships
  • Promote specials and seasonal offers
  • Encourage follow-up appointments and treatment plans
  • Track bookings, packages, and daily sales
  • Monitor spa inventory and order supplies as needed
  • Track equipment usage for Neveskin and T-Shape devices
  • Ensure sanitation and safety standards are maintained
  • Assist with social media promotions and campaigns
  • Encourage satisfied clients to leave reviews
  • Support marketing events and promotions for the clinic

Skills

  • Experience as a MedSpa Receptionist, Patient Care Coordinator, Spa Administrator, or Medical Office Coordinator preferred
  • Background in medspa, aesthetics, dermatology, plastic surgery, wellness, or spa environments
  • Strong customer service and phone communication skills
  • Experience with CRM or scheduling systems
  • Ability to multitask and manage appointments efficiently
  • Highly organized, dependable, and detail-oriented
  • Bilingual English/Spanish
