Position Overview

As a vital first point of contact for our organization, you will play a crucial role in supporting our Utilization Review Department. This position is responsible for the collection of intake information, creation of electronic patient files, and the sorting and mailing of certification letters. Key Responsibilities
As a Medical Intake Coordinator / Data Entry Specialist, you will be responsible for a variety of clerical and administrative tasks that keep our Utilization Review Department running smoothly. Your daily responsibilities will include:
- Phone Communication: Answer the Utilization Review phone line with professionalism and efficiency, directing calls to the appropriate team member. Retrieve voicemail messages and ensure they are promptly transferred to the correct nurse or department staff.
- Patient File Creation: Collect demographic information from patients and healthcare providers to create and maintain accurate electronic patient files in our database management system.
- Document Management: Print, mail, fax, and copy correspondence as necessary, ensuring all patient documentation is processed accurately and confidentially.
- Data Entry: Perform accurate data entry tasks, inputting patient information, insurance details, and medical records into our electronic health record systems with precision and attention to detail.
- Team Support: Provide clerical backup to professional staff as needed, assisting with special projects and responding to ad-hoc requests from your assigned URA Team Leader.
- Quality Assurance: Proofread written material accurately, ensuring all correspondence is free of errors and meets professional standards.
- Task Prioritization: Organize and prioritize a large variety of tasks effectively, managing your workload to meet deadlines and department goals.
- Other Duties: Assist with additional responsibilities as assigned to support the overall efficiency of the Utilization Review Department.
Essential Qualifications
To succeed in this role, you must meet the following requirements:
- Education: High School Diploma or equivalent required. Post-secondary courses or training in computers, medical terminology, data entry, word processing, and secretarial training are desired.
- Experience: At least one year of professional office experience required. Experience in a healthcare environment is strongly preferred.
- Technical Skills: Knowledge of computers and data entry in databases, proficiency in word processing applications, and familiarity with multiple line telephone systems.
- Communication Skills: Excellent telephone personality with a helpful and friendly demeanor. Strong ability to communicate clearly and professionally with patients, healthcare providers, and internal staff.
- Attention to Detail: Ability to proof written material accurately with a keen eye for detecting errors in documentation and data entry.
- Organizational Skills: Strong ability to organize and prioritize multiple tasks efficiently, working independently and as part of a team.
- Customer Service: Understanding of customer service principles and the ability to provide exceptional service to internal and external stakeholders.
- Language Skills: Bi-lingual capabilities are helpful but not required for this position.
Preferred Qualifications

Work Schedule
This position operates on a Monday through Friday schedule from 9:30 AM to 6:00 PM. We understand the importance of work-life balance and are proud to offer schedules that allow our employees to maintain fulfilling personal lives.
Training and Development
Upon joining arenaflex, you will receive comprehensive training to set you up for success. The initial training period requires you to work in the office 5 days per week for approximately 4-6 weeks. During this time, you will learn our systems, processes, and get comfortable with our culture. Training will take place at our Rockford office location.
After successfully completing training, you will transition to a hybrid schedule, working remotely 2 days per week and in the office 3 days per week. This flexibility allows you to enjoy the best of both worlds—collaborative in-office work and productive remote days.
