About the Role: CMN Documentation Specialist

As a CMN Documentation Specialist at arenaflex, you will play a critical role in our order processing and reimbursement operations. CMN (Certificate of Medical Necessity) documentation is the backbone of our billing and compliance processes, ensuring that patients receive the equipment they need while maintaining our commitment to regulatory excellence. You will be responsible for reviewing, processing, and managing CMN documentation to ensure accuracy, timeliness, and compliance with all applicable guidelines.

Key Responsibilities

Your day-to-day responsibilities as a CMN Documentation Specialist will include:


  • Prescription Review and Validation: Carefully review initial prescriptions for all qualifying elements, ensuring completeness and accuracy to result in the timely release of claims. You will be the first line of defense in preventing claim denials and ensuring patients receive their equipment without delay.

  • Daily Follow-Up Processes: Manage and complete daily follow-up activities on all CMNs assigned within the Work-In-Progress (WIP) states and Revenue Cycle (RC) worklist. Your attention to detail will help identify and resolve issues before they become problems.

  • CMN Renewal Management: Proactively review the CMN review worklist for possible renewal CMNs. You will manage the entire CMN renewal process, obtaining all necessary documentation from physicians, patients, and other healthcare providers to ensure continuous care for our patients.

  • Outstanding Revenue Management: Take ownership of handling all outstanding held revenue related to CMNs for assigned branches. Your efforts will directly impact our revenue cycle efficiency and ensure that arenaflex continues to thrive and invest in our people and patients.

  • Phone Communication: Professionally manage phone calls related to CMN inquiries, providing exceptional customer service to both internal team members and external stakeholders including physicians' offices, patients, and insurance providers.

  • Cross-Functional Collaboration: Work closely with our billing, coding, and operations teams to resolve documentation issues and improve overall process efficiency.

  • Continuous Improvement: Participate in monitoring and improving processes relative to the quality, appropriateness, and timeliness of reimbursement information requirements.

  • Additional Duties: Perform other related duties as assigned by the Director of Revenue Cycle Management.

Essential Qualifications

To succeed in this role, you must meet the following requirements:


  • Education: Graduate of an accredited high school or GED equivalent. Post-secondary education in healthcare administration, business, or a related field is a plus but not required.

  • Communication Skills: Exceptional verbal and written communication skills. You must be able to articulate clearly and professionally with healthcare providers, insurance companies, and team members.

  • Computer Proficiency: Proven computer proficiency with the ability to use multiple applications simultaneously. Experience with electronic health records (EHR) and practice management systems is highly desirable.

  • Organizational Skills: Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.

  • Attention to Detail: Meticulous attention to detail is essential for ensuring documentation accuracy and compliance.

  • Team Orientation: Collaborative mindset with the ability to work effectively as part of a team and across departments.

  • Multi-Tasking Abilities: Excellent ability to manage multiple tasks and deadlines simultaneously without sacrificing quality.

Preferred Qualifications and Experience

While not required, the following qualifications will give you a competitive edge:


  • Previous experience in the HME/DME (Home Medical Equipment/Durable Medical Equipment) industry

  • Familiarity with CMN (Certificate of Medical Necessity) processes and documentation requirements

  • Knowledge of insurance billing, Medicare, Medicaid, or private insurance claims processing

  • Experience in medical office administration or healthcare customer service

  • Basic understanding of medical terminology and documentation standards

Physical Requirements


  • Ability to sit for extended periods while working on a computer
