Position Overview: Data Entry Processor

As a Data Entry Processor at arenaflex, you will be an essential part of our revenue cycle management team, responsible for ensuring the accurate and timely entry of all financial transactions into our EPIC system. Your meticulous attention to detail and commitment to accuracy will directly impact our ability to provide exceptional patient care by maintaining the financial health of our organization.

Key Responsibilities

The Data Entry Processor will be responsible for the following core functions:


  • Accurate Data Entry: Enter all charges, payments, adjustments, and refunds into the EPIC system in a timely and precise manner, ensuring complete accuracy in all financial transactions.

  • Charge Capture Process: Develop a thorough understanding of the charge capture process and promptly report any inconsistencies or discrepancies to the appropriate Manager.

  • Policy Compliance: Follow all established policies and procedures related to data entry, maintaining compliance with healthcare industry regulations and internal controls.

  • Batch Reconciliation: Ensure all data for un-reconciled batches are entered and reconciled within 24 to 48 hours of receipt, maintaining optimal workflow efficiency.

  • Variance Management: Complete and submit all credit variances, refund variances, and missing EOB (Explanation of Benefits) forms within 24 hours of creation date.

  • Discrepancy Documentation: Accurately enter discrepancies with the appropriate EDI number and check number in the designated fields for proper tracking and resolution.

  • System Proficiency: Maintain updated knowledge and efficiently use the EPIC system, participating in all required training modules and certifications.

  • Insurance Knowledge: Develop and maintain an excellent knowledge base of billing requirements for third-party insurance carriers, including Medicare, Medicaid, Commercial, and HMO plans. Maintain current knowledge of the Medical Center's Managed Care Contracts.

  • Database Management: Utilize various databases effectively to support data entry operations and resolve billing inquiries.

  • Workload Prioritization: Follow workload priority guidelines and perform additional duties as assigned by direct supervisors or coordinators to meet or exceed departmental goals and objectives.

  • Process Improvement: Continuously monitor performance levels of self and the processes worked within to identify opportunities for improvement.

  • Team Collaboration: Participate in proactive communication and problem-solving to enable high performance of the team and individual contributors.

Essential Qualifications

To be considered for this position, candidates must meet the following requirements:


  • Education: High School Diploma or GED required.

  • Technical Knowledge: Must have knowledge of computerized medical billing systems and proficiency in data entry operations.

  • Insurance Expertise: Knowledge of regional third-party payers and their specific billing requirements preferred.

  • Healthcare Billing Experience: Previous experience in a physician or hospital billing setting is highly desirable and will provide a strong foundation for success in this role.

  • EPIC System Experience: Prior experience with the EPIC electronic health record system is a plus, though comprehensive training will be provided.

  • Revenue Cycle Background: Familiarity with end-to-end revenue cycle operations, including patient registration, charge capture, coding, billing, and collections.
