Who We Need
We are currently seeking a dedicated Customer Service Representative to provide comprehensive customer service support for our Review Team. This is a dynamic role that requires a great deal of decision-making and problem-solving skills, particularly regarding different types of complex appeals.
In this position, you will be the voice of Arenaflex, interacting with beneficiaries and healthcare providers via our helpline. You will be responsible for the creation, formatting, and proofreading of important correspondence, ensuring that all communications are clear, accurate, and delivered in a timely manner. Your ability to maintain composure under potentially stressful situations will be crucial, as you will be assisting individuals who may be facing challenging healthcare circumstances.
What You'll Do
As a Customer Service Representative at Arenaflex, your responsibilities will include:
- Correspondence Management: Responsible for typing, merging, proofing for clarity, printing, and mailing correspondence with precision and attention to detail.
- External Communication: Communicate verbally and in writing with external customers to furnish and request review information, maintaining professional and courteous interactions at all times.
- Relationship Building: Foster effective working relationships between Arenaflex's internal and external customers, ensuring seamless collaboration and positive outcomes.
- Process Improvement: Assist with and participate in Review Team activities to identify areas for potential improvement, as noted on case reviews and processes.
- Helpline Support: Answer the Beneficiary Helpline through the utilization of the hunt group and available light functions. Determine how to best assist callers either by a service offered by Arenaflex or by referring them to an external agency, properly entering referrals into the CMS system.
- Quality Assurance: Ensure all letters are sent out in a timely manner with correct components included, reviewing for grammatical and spacing errors to maintain the highest quality standards.
- Documentation: Get and validate notices and all components of medical records with accuracy and attention to detail.
- Appeals Intake: Provide intake for all appeals received by Arenaflex, ensuring proper documentation and processing.
- Compliance: Maintain proficiency in customer service guidelines and standards, adhering to all regulatory requirements.
- Quality Control: Utilize internal quality control tools to assess individual work and team processes, continuously striving for excellence.
Qualifications
What You'll Need:
- Education: High school diploma or equivalent required. Post-high school business courses are helpful but not required.
- Medical Knowledge: Medical terminology knowledge is desired but not mandatory – we provide training!
- Communication Skills: Excellent verbal communication skills with a courteous and patient demeanor. You must be customer-oriented and have the ability to maintain composure under potentially stressful situations.
- Writing Skills: Good grammar, punctuation, spelling, hyphenation, and written communications skills are essential for this role.
- Customer Focus: Results-oriented and capable of building and maintaining relationships with internal and external customers. Must be flexible and able to work as a team member, supporting team decisions.
- Technical Skills: General knowledge of PC-based computer systems. Knowledge of various software packages with the ability to learn additional software packages as needed.
- Multi-tasking: Must be able to multi-task and prioritize assignments effectively in a fast-paced environment.
- Organization: Must have good organizational skills and be able to work independently with minimal supervision.
Experience:
- Two to three years of clerical experience including word processing, various filing systems, and telephone customer service responsibilities.
- Prior work in a healthcare setting or medical terminology is recommended but not required – we welcome candidates from all backgrounds!
- Previous data entry or other clerical experience is a plus.
