Position Overview

We are looking for a motivated Business Administrator who thrives in a fast-paced, dynamic environment and enjoys providing high-level support to executive leadership. Key Responsibilities

As a valued member of our Information Security and Protection team, you will be responsible for:


  • Executive Support: Work closely with the Executive Assistant and Administrator team to provide comprehensive support to senior leadership, ensuring their schedules are optimized and their needs are met efficiently.

  • Financial Administration: Facilitate, submit, and review cost reports in full compliance with arenaflex policies and procedures, maintaining accuracy and ensuring proper documentation.

  • Meeting Coordination: Manage all meeting logistics, ranging from small team discussions to large-scale company events, including venue selection, catering, materials preparation, and attendee communication.

  • Administrative Support: Provide proactive organizational and staffing support to the team, including space management, asset management, procurement, headcount tracking, new hire onboarding, and event coordination.

  • Employee Engagement: Plan and execute employee appreciation events, team all-hands meetings, and off-site retreats that foster team cohesion and morale.

  • Information Management: Maintain group information with strict classification and integrity, exercising sound judgment and discretion in all communications and data handling.

  • Procurement Services: Coordinate the acquisition of labor and services, including computer equipment, office supplies, reference materials, and general office requirements.

  • New Hire Onboarding: Manage onboarding processes for new team members, including workspace setup, equipment provisioning, system access, and orientation procedures.

  • Schedule Management: Provide calendar support and scheduling assistance where required, ensuring efficient time management for leadership and team members.

  • General Administrative Duties: Handle additional daily administrative tasks as needed to support team operations and organizational effectiveness.

Essential Qualifications

To be considered for this role, candidates must meet the following requirements:


  • Education: Bachelor's degree in Business Administration, Human Resources, Marketing, Communications, or a related field from an accredited institution.

  • Experience: Demonstrated experience in a business support or administrative role with emphasis on calendar management, event planning, and coordination.
