Position Overview

Key Responsibilities
As a Client Services & Transportation Dispatch Specialist at arenaflex, your daily responsibilities will include:
- Client Interaction & Support: Serve as the primary point of contact for clients seeking transportation services. Answer incoming calls with warmth and professionalism, listening attentively to client needs, answering questions, and providing accurate information about our services, schedules, and policies.
- Transportation Dispatching: Efficiently coordinate driver assignments and route planning to ensure timely pickups and drop-offs. Utilize dispatch software and communication tools to monitor driver locations, manage ride requests, and adjust schedules dynamically based on real-time conditions.
- Problem Resolution: Address client concerns, complaints, and special requests with empathy and efficiency. Troubleshoot scheduling conflicts, route issues, and service disruptions while maintaining a calm, solutions-oriented approach that prioritizes client satisfaction.
- Data Management & Documentation: Maintain comprehensive and accurate records of all client interactions, including ride requests, feedback, complaints, and compliments. Update client profiles, transportation schedules, and routing information in our database systems to ensure data integrity.
- Collaboration & Communication: Work closely with drivers, dispatchers, and management to coordinate seamless service delivery. Communicate schedule changes, route updates, and important announcements to all relevant parties in a timely manner.
- Quality Assurance: Monitor service quality metrics and identify opportunities for improvement. Provide feedback to management about recurring issues, client preferences, and process enhancements that could elevate the client experience.

Essential Qualifications
To succeed in this role, candidates must meet the following requirements:

- Technical Proficiency: Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook) and comfort with learning new software systems. Previous experience with dispatch software, scheduling systems, or CRM platforms is highly desirable.
- Multitasking & Organization: Demonstrated ability to manage multiple concurrent tasks, prioritize effectively, and maintain attention to detail in a fast-paced environment. Comfortable handling high call volumes while maintaining accuracy and quality.
- Problem-Solving Skills: Strong analytical and critical thinking abilities, with a knack for quickly identifying issues and implementing effective solutions. Ability to make sound decisions under pressure while considering the needs of all stakeholders.

- High School Diploma or equivalent required; Post-secondary education or relevant certifications in customer service, communications, or related fields is a plus.
Preferred Qualifications
