Position Overview

The Alternative Investment Operations Specialist is responsible for performing daily reconciliation, trade, and transfer activities for our Alternative Investments division. This critical role involves processing exchange deal transactions in client accounts, identifying and resolving discrepancies between arenaflex and fund businesses or transfer representatives, and ensuring accurate processing of corporate activities, dividend transactions, and transfer requests.

The ideal candidate will possess strong analytical skills, exceptional attention to detail, and the ability to navigate complex financial processes while maintaining accuracy and timeliness. This position interacts primarily with Retail and Institutional Service Teams and requires regular coordination with external partners including fund companies, transfer agents, and other business stakeholders.

Key Responsibilities

As an Alternative Investment Operations Specialist at arenaflex, you will be responsible for:


  • Transaction Processing: Accurately process exchange deal transactions in client accounts, ensuring all trades are executed correctly and in accordance with established procedures and regulatory requirements.
  • Reconciliation & Breaks Resolution: Identify, analyze, and resolve discrepancies and breaks identified between arenaflex and fund businesses or transfer representatives across dividend, field, and transfer activities.
  • Cross-System Reconciliation: Perform comprehensive reconciliation across all business operating systems and fund business entities to ensure data integrity and account accuracy.
  • Corporate Actions Processing: Process corporate activity events including mergers, acquisitions, splits, and other corporate restructuring events that impact client holdings.
  • Dividend Processing: Handle dividend processing activities, including reconciliation of dividend payments, tax coding verification, and correction of any dividend-related discrepancies.
  • Tax Programming Analysis: Evaluate and interpret appropriate tax programming and corrections of tax coding to ensure accurate tax treatment of investment transactions.
  • Escalated Issue Resolution: Conduct research and provide resolution for complex or escalated issues that require advanced problem-solving skills and coordination with multiple stakeholders.
  • Technology Enhancement Testing: Participate in testing and validation of new technology enhancements and vendor changes to ensure system reliability and functionality.
  • Registration & Compliance Review: Review registration agreements or transaction requests and process client/advisor level exemptions in accordance with governing responsibilities and regulatory requirements.
  • Stakeholder Communication: Respond promptly to service partner questions regarding fund-specific requirements and eligibility criteria, providing expert guidance and support.
  • Alternative Investment Transactions: Provide follow-up on alternative investment transactions to accelerate client requests or remediate issues that are not in good order.
  • Methodology & Process Improvement: Identify and recommend method or technology solutions to management for improving operational efficiency and accuracy.
  • Client Transaction Timeliness: Ensure timely and accurate completion of client trading and dividend demands while maintaining the highest standards of quality and compliance.

Essential Qualifications

To succeed in this role, candidates must meet the following requirements:


  • Education: Bachelor's degree in Finance, Accounting, Business Administration, or a related field is preferred. Equivalent combination of education and experience will be considered.
  • Financial Services Experience: Prior experience in financial services operations, trade processing, reconciliation, or related roles within the investment industry is highly desirable.
  • Technical Proficiency: Familiarity with industry-standard platforms including email systems, Microsoft Outlook, collaboration tools such as Slack, and CRM systems like Salesforce.
  • Regulatory Knowledge: Understanding of regulatory requirements relevant to investment operations, including familiarity with governing responsibilities such as Rules 2340 and 15C3-3.
  • Analytical Skills: Strong analytical abilities with the capacity to interpret complex data, identify discrepancies, and implement effective solutions.
  • Communication Skills: Excellent written and verbal communication skills with the ability to effectively interact with internal teams and external business partners.
  • Organizational Abilities: Exceptional organizational skills with the ability to manage multiple priorities, meet deadlines, and maintain accuracy in a fast-paced environment.
