About the Role

As a Remote Customer Service Representative at arenaflex, you'll be the frontline voice of our company, handling incoming calls, emails, and messages from customers seeking assistance with their HVAC and plumbing needs. You'll scheduling service appointments, answering questions about our services, troubleshooting customer concerns, and ensuring every interaction leaves a lasting positive impression.

This position offers the flexibility of working from home while still being an integral part of our collaborative team culture. You'll have access to cutting-edge technology and systems, including Service Titan CRM, to help you manage customer relationships efficiently and effectively.

Key Responsibilities


  • Customer Communication: Respond promptly and professionally to customer inquiries via phone, email, and online messaging platforms, ensuring each interaction reflects our commitment to exceptional service.

  • Appointment Scheduling: Efficiently schedule, confirm, and manage service appointments for our HVAC and plumbing technicians using Service Titan CRM and other scheduling tools.

  • Issue Resolution: Address customer concerns with empathy, patience, and problem-solving skills, working to resolve issues on the first contact whenever possible.

  • Service Knowledge: Maintain thorough knowledge of our HVAC and plumbing services, pricing, promotions, and policies to provide accurate information to customers.

  • Technical Support: Assist customers with basic troubleshooting guidance and determine the appropriate level of service needed for their specific situations.

  • Documentation: Accurately document all customer interactions, service requests, and follow-up actions in our CRM system to maintain comprehensive records.

  • Sales Support: Identify opportunities to educate customers about additional services, maintenance plans, and special promotions that may benefit them.

  • Team Collaboration: Work closely with field technicians, dispatchers, and other team members to ensure seamless service delivery and customer satisfaction.

  • Feedback Loop: Gather customer feedback and share insights with management to help improve our processes and service offerings.

  • Continuous Learning: Participate in ongoing training sessions to stay current with industry trends, product knowledge, and best practices.

Essential Qualifications


  • Minimum 1 year of previous customer service experience, preferably in the HVAC, plumbing, or home services industry

  • Familiarity with CRM systems, particularly Service Titan, is highly desirable

  • Excellent verbal and written communication skills

  • Strong active listening abilities and empathy for customer concerns

  • Proficient computer skills and ability to learn new software applications quickly

  • Ability to multitask and manage time effectively in a fast-paced environment

  • High school diploma or equivalent

  • Reliable home office setup with high-speed internet connection

  • Ability to work a flexible schedule, including evenings and weekends as needed

Preferred Qualifications


  • Previous experience in a call center or remote customer service role

  • Understanding of HVAC systems, plumbing basics, or home maintenance concepts

  • Experience withService Titan CRM or similar field service management software

  • Associate degree or higher in a related field

  • Bilingual capabilities (Spanish, Mandarin, or other languages) is a plus

Work Schedule and Details
