What You'll Do
As a Customer Service Representative, you will be responsible for providing comprehensive customer service support for our Review Team. Your daily responsibilities will include:
- Correspondence Management: Handle typing, merging, proofing for clarity, printing, and mailing of correspondence with meticulous attention to detail
- External Communication: Communicate professionally, both verbally and in writing, with external customers to furnish and request review information
- Relationship Building: Foster effective working relationships between arenaflex's internal and external customers
- Continuous Improvement: Assist and participate in team efforts to identify areas for potential improvement based on case reviews and process analysis
- Helpline Support: Answer the Beneficiary Helpline utilizing the hunt group and available light functions. Determine the best way to assist callers either through services offered by arenaflex or by referring them to external agencies
- Referral Documentation: Properly enter referrals into the CMS system with accuracy and timeliness
- Quality Assurance: Ensure all letters are sent in a timely manner with correct components included, reviewing for grammatical and spacing errors
- Documentation Retrieval: Obtain and validate notices and all components of medical records as needed
- Appeals Processing: Provide intake support for all appeals received by arenaflex
- Quality Standards: Maintain proficiency in customer service guidelines and standards
- Performance Assessment: Utilize internal quality control tools to assess individual work and team processes
Qualifications We're Seeking
Education and Training
- High school diploma or equivalent required
- Post-high school business courses are helpful
- Medical terminology knowledge is desired
Essential Skills and Competencies
- Excellent Verbal Communication: Strong verbal communication skills with a courteous and patient demeanor
- Customer Orientation: Must be customer-oriented with the ability to maintain composure under potentially stressful situations
- Written Communication: Good grammar, punctuation, spelling, hyphenation, and written communication skills
- Results-Oriented: Customer-focused and results-oriented with the ability to build and maintain relationships with internal and external customers
- Team Player: Must be flexible and able to work as a team member while supporting team decisions
- Technical Proficiency: General knowledge of PC-based computer systems and familiarity with various software packages with the ability to learn additional software packages as needed
- Multitasking: Must be able to multitask and prioritize assignments effectively
- Organization: Strong organizational skills with the ability to work independently
Experience Requirements
- Two to three years of clerical experience including word processing, various filing systems, and telephone customer service responsibilities
- Prior work in a healthcare setting or knowledge of medical terminology is recommended
- Previous data entry or other clerical experience is a plus
