As an Alternative Investment Reconciliation Specialist at arenaflex, you will be responsible for performing everyday reconciliation, trade, and transfer activities that keep our alternative investment operations running smoothly. What You'll Do: Key Responsibilities
Your day-to-day responsibilities will span multiple functional areas within our alternative investment operations. Here's what you can expect:
- Trade Transaction Processing: Accurately process exchange deal transactions in client accounts, ensuring every trade is executed correctly and in accordance with regulatory requirements.
- Reconciliation & Break Resolution: Identify, analyze, and resolve discrepancies (breaks) identified between arenaflex and fund businesses or transfer representatives. You will reconcile breaks across multiple systems including BOS and fund company records.
- Corporate Actions Processing: Handle corporate activity operations with precision, including but not limited to mergers, acquisitions, splits, and other corporate restructuring events that affect client holdings.
- Dividend Activity Management: Process and reconcile dividend activities, ensuring accurate distribution of investment income to client accounts.
- Registration & Transaction Review: Review registration agreements or transaction requests at the Client/Advisor level, including governing responsibilities such as Rules 2340 and 15C3-3.
- Tax Programming & Corrections: Evaluate and interpret appropriate tax programming and corrections of tax coding to ensure accurate tax reporting for all transactions.
- Complex Issue Research: Conduct research on complex or escalated issues that require deeper analysis and creative problem-solving.
- Technology Testing & Validation: Participate in testing and validation of new technology enhancements and vendor changes to ensure seamless integration and functionality.
- Root Cause Analysis: Investigate and identify sources of breaks between arenaflex, fund companies, and other external partners.
- Process Improvement: Provide methodology or technology solution recommendations to management for improving operational efficiency.
- Transaction Remediation: Remediate transaction issues with fund companies, transfer agents, or other business partners to ensure timely resolution.
- Client & Partner Support: Answer inquiries from service partners regarding fund-specific requirements and eligibility criteria.
- Alternative Investment Transactions: Provide follow-up on alternative investment transactions to accelerate client requests or remediate not-in-good-order concerns.
- Timely Execution: Ensure timely and accurate completion of client trading and dividend demands while maintaining the highest quality standards.
What We're Looking For: Qualifications & Requirements
Essential Qualifications
- Strong understanding of financial markets, trading operations, and investment products, particularly alternative investments.
- Proven experience in reconciliation, trade processing, or back-office operations within the financial services industry.
- Solid knowledge of regulatory requirements governing investment transactions, including Rules 2340 and 15C3-3.
- Experience working with multiple systems including BOS (Brokerage Operations System), fund company platforms, and transfer agent systems.
- Strong analytical skills with the ability to identify discrepancies, investigate root causes, and implement effective solutions.
- Excellent attention to detail—you understand that precision in financial operations is non-negotiable.
- Strong written and verbal communication skills for interacting with internal teams and external partners.
- Proficiency with technology platforms including email, phone, collaboration tools (Slack), Microsoft Outlook, and CRM systems like Salesforce.
- Ability to work independently in a remote environment while maintaining strong collaboration with team members.
- Strong time management skills with the ability to prioritize multiple tasks and meet strict deadlines.
- High school diploma or equivalent; additional financial operations certifications are a plus.
Preferred Qualifications
- Previous experience working with TD Ameritrade clearing systems or similar brokerage platforms.
- Bachelor's degree in Finance, Accounting, Business Administration, or related field.
- Experience in the alternative investment space, including private equity, hedge funds, or real estate investment trusts (REITs).
- Knowledge of tax programming and tax coding as it relates to investment transactions and dividend processing.
- Familiarity with corporate actions processing and the complexities involved in various corporate events.
- Experience testing and validating new technology implementations in a financial operations setting.
- Certified Financial Operations Professional (CFOP) or similar industry certifications.
