As a Customer Service Representative at arenaflex, you'll be the first point of contact for patients, healthcare providers, and callers seeking information and assistance. Core Responsibilities
- Handle Inbound Calls Professionally: Answer incoming phone calls daily while delivering exceptional customer service and creating positive experiences for every caller.
- Appointment Management: Schedule, reschedule, and cancel appointments efficiently while maintaining accurate records in our systems.
- Patient Registration: Register new patients, verify demographics and insurance information, and update patient records in designated databases.
- Information & Inquiry Response: Respond to general information requests from patients, physicians, medical offices, and other callers with accuracy and professionalism.
- Call Routing: Transfer non-applicable calls to appropriate internal departments to ensure caller needs are met efficiently.
- Documentation: Accurately transmit written communications to site staff and physicians via medical communication platforms.
- System Compliance: Adhere to system guidelines, policies, and procedures while meeting the needs of all callers.
- Technology Proficiency: Demonstrate proficiency in using technological tools required to perform daily responsibilities effectively.
Call Handling Excellence
- Answer calls with appropriate greetings on the first ring whenever possible.
- Speak in a confident, friendly, and pleasant tone with clear enunciation—project a positive "smile" in your voice.
- Maintain an appropriate and professional attitude at all times, valuing others' perspectives.
- Practice active listening and use appropriate fact-finding questions.
- Refrain from blind transfers and avoid giving unsolicited advice.
- Utilize all available tools including directories, protocols, decision trees, and management systems.
Advanced Responsibilities
- Process calls during non-business hours, holidays, and coverage periods for various facilities.
- Access electronic medical records to verify appointments and update patient demographics.
- Verify insurance coverage and co-pays using real-time eligibility features.
- Process prescription refill requests with emphasis on accuracy—never use abbreviations.
- Take complete, accurate, and understandable messages with correct spelling.
- Handle emergency code calls and team activations according to protocol.
- Monitor facility alarm systems including security, temperature, and emergency systems.
- Act as initial support for patient portal accounts, assisting callers with account issues.
What We're Looking For: Your Qualifications
Required Qualifications
- Education: High school diploma or GED required.
- Experience: Minimum 1 year of experience in customer service, communications, or call center environment.
- Age Requirement: Must be 18 years of age or older.
- Technical Skills: Basic computer skills and familiarity with Microsoft Office applications (Outlook, Word, Excel).
- Schedule Flexibility: Ability to work any 12-hour shift schedules during normal business hours (7:00am to 7:00pm) with occasional overtime as needed.
- Work Environment: Dedicated work area separated from other living areas with ability to maintain information privacy.
- Security: Ability to keep company sensitive documents secure.
- Internet: Must have access to high-speed internet connection approved by arenaflex.
Preferred Qualifications
- Typing speed of at least 50 words per minute.
