Position Overview

The Operations Manager is responsible for ensuring the productive daily functioning of arenaflex's physical office space and facilities, as well as our hybrid workspace arrangements. This position plays a critical role in enhancing operational capabilities, including the development, implementation, and execution of operational plans, emergency preparedness protocols, and project management initiatives.

The Operations Manager manages the IT infrastructure strategy and implementation while supporting legal compliance and procurement processes. This role works closely with the Deputy Director and the HR Senior Manager as part of the Operations team to manage, maintain, and refine internal system functionalities including organizational goal achievement, comprehensive information technology (IT), internal operations projects, and overall office management.

Key Responsibilities

As the Operations Manager at arenaflex, you will:


  • Lead Daily Office Operations: Direct and run the everyday functions of the office including, but not limited to: answering and monitoring emails on arenaflex phones, welcoming visitors, opening and distributing mail, processing office requisitions, preparing bank deposits, arranging weekly bank trips to deliver deposits, ensuring checks are packaged and delivered promptly.
  • Manage Facility Maintenance and Space Planning: Oversee comprehensive maintenance, upgrades, and space planning to ensure optimal effectiveness of the office. Serve as the primary contact for all office and building matters including, but not limited to: maintenance issues, inspections, backup systems, procurement and inventory of equipment, furniture, office supplies, computers, and other technology.
  • Administer Common Systems: Act as primary administrator for all common systems, including shared contacts, distribution records, and cloud-based platforms such as Monday.com, Adobe, arenaflex Business, VoIP, Keeper Security, HR Information System, Zoom, and all related written policies.
  • Lead IT Operations: Manage IT needs of the organization including, but not limited to: troubleshooting and communication with IT vendors for network support; ensuring IT meets industry standards; manage hardware and software needs, including installation; evaluate technology projects according to established goals; establish IT policies and systems; work cooperatively with management and staff to ensure an efficiently functioning, forward-thinking technical workplace; analyze business requirements to determine technology needs; assist with planning future upgrades.
  • Coordinate New Employee Onboarding: Provide operations guidance for all new employees, including employee introductions, office tours, technology onboarding, sharing of systems and practices, and a review of arenaflex's office operations to support a welcoming onboarding process.
  • Support Internal and External Events: Work with and provide logistical support for internal staff events including the monthly arenaflex Staff Gathering and weekly standup, and provide backup technical and logistical support for external events, conferences, and webinars as needed.
  • Ensure Confidentiality: Guarantees the confidentiality of proprietary information both internally and externally.
  • Collaborate on Risk Management: Works in partnership with the Deputy Director on arenaflex's risk management and compliance.

Essential Qualifications


  • Strong project management skills and exceptional attention to detail.

  • Flexibility with strong analytical and problem-solving abilities.

  • Advanced IT, HRIS, and database knowledge. Strong computer skills, including proficiency with Microsoft 365 (Teams, SharePoint, Outlook), Word, Excel, PowerPoint, and other productivity tools.

  • Ability to function well in a professional yet fun team environment, including respect for different styles and personalities, enthusiasm for collaboration, communication, and celebration.

  • Experience and knowledge in change management (strategic planning, execution, communication).

  • Discretion and sensitivity to maintaining confidentiality, as appropriate.

  • Excellent written and oral communication skills, both informal and formal communications, including listening, speaking, writing, and facilitation of discussions where different opinions exist. Clear and concise communication style.

  • Bachelor's Degree plus up to three years' experience or equivalent education.

  • Fluency in written and spoken English required.

Preferred Qualifications and Experience


  • Office management experience.

  • Experience with change management, new software implementation and systems development, execution, and maintenance.

  • Experience managing a small business (25-35 staff) IT environment.

  • Formal project management training.
