Position Overview
As a Customer Service Representative at arenaflex, you will serve as the frontline ambassador to our customers who are placing their meal orders. This role is fundamental to our operations and customer satisfaction. You will be responsible for providing exceptional customer service while efficiently and accurately processing meal orders. Your ability to listen attentively, communicate clearly, and resolve concerns will be key to your success in this position.

Key Responsibilities
As a vital member of our customer service team, you will be responsible for a variety of tasks that ensure our customers receive the best possible experience. Your daily responsibilities will include:
- Handle inbound and outbound customer service calls with clients who are placing their meal orders, ensuring each interaction is professional, empathetic, and efficient
- Address questions and provide exceptional customer service by actively listening to customer needs, offering appropriate solutions, and ensuring complete satisfaction with every interaction
- Input order information accurately into the appropriate client order screen, maintaining meticulous attention to detail to prevent errors
- Document all conversations with clients in our client information database, creating comprehensive records that support continuity of care
- Proactively contact assigned clients to ensure they have an active order on file, preventing any gaps in their meal delivery service
- Communicate with case managers via telephone, email, and/or fax when special situations arise regarding their clients, demonstrating professionalism and collaborative problem-solving
- Work quickly and efficiently without making clients feel rushed, balancing productivity targets with quality customer care
- De-escalate difficult situations and resolve customer complaints promptly, turning potentially negative experiences into positive ones
- Maintain knowledge of company policies, procedures, and product offerings to provide accurate information to customers
- Participate in ongoing training and team meetings to stay current with industry best practices and company updates
Required Skills & Experience
To succeed in this role, you should possess the following qualifications and skills:
- Education: High school diploma or GED required
- Experience: Minimum 1 year of previous customer service experience in a professional setting
- Technical Skills: Previous knowledge and experience using the Microsoft Office suite, including Word, Excel, and Outlook
- Communication: Clear, articulate oral communication skills with the ability to convey information professionally
- Problem-Solving: Strong ability to de-escalate situations and quickly resolve customer complaints with empathy and efficiency
- Professionalism: Prior experience adhering to company policies and demonstrating core values in the workplace

Preferred Skills & Experience

- Call Center Experience: 1 year of previous call center experience is strongly preferred
- Technical Proficiency: Previous experience with auto dialer systems, multi-line phone systems, and/or Customer Relationship Management (CRM) software
- Healthcare Background: Previous experience working with HIPAA policies and procedures, demonstrating understanding of patient confidentiality
- Language Skills: Bilingual (English/Spanish) – a significant advantage in serving our diverse customer base
- Industry Knowledge: Familiarity with the healthcare or meal delivery industry is a plus
Physical Requirements
This position involves sedentary work that requires the ability to:

Our Customer Service Representatives work Monday through Friday, 9:00 AM to 6:00 PM. We offer:
