Welcome to arenaflex – a global health service company dedicated to helping people improve their health and vitality. We are currently seeking compassionate, dedicated, and empathetic Customer Service Representatives to join our dynamic team in the Coverage Review Department.

At arenaflex, we believe that our people make all the difference in our success. As a Customer Service Representative working in prior authorization, you will play a vital role in ensuring that patients receive the medications and treatments they need in a timely manner. This is not just a job – it's an opportunity to be part of something bigger, to touch lives, and to contribute to a healthcare system that serves millions of people across the globe.

About the Role: Prior Authorization Specialist

As a Prior Authorization Specialist at arenaflex, you will be at the forefront of healthcare administration, working directly with healthcare providers, pharmacies, and insurance members to process coverage requests. This position is ideal for individuals who enjoy problem-solving, have strong attention to detail, and possess excellent communication skills. You will be the bridge between healthcare providers and patients, ensuring that necessary medications and treatments are approved and accessible.

The prior authorization process is a critical component of modern healthcare. It helps determine whether a prescribed procedure, service, or medication is covered by a member's current health plan. Your work will directly impact patient outcomes by facilitating access to essential healthcare services.

Key Responsibilities

  • Handle Inbound Calls: Receive and process inbound calls from doctor's offices, pharmacies, and healthcare providers who are requesting coverage for medications and treatments on behalf of their patients.

  • Prior Authorization Processing: Conduct initial screening of coverage requests based on guidance provided by our online prior authorization tools and clinical guidelines.

  • Decision Making: Evaluate requests against approval specifications and make appropriate decisions – approve requests that meet criteria or refer complex cases to our clinical pharmacy team for further review.

  • System Utilization: Master and utilize up to five different computer systems daily to complete all required documentation, tracking, and processing tasks. Comprehensive training will be provided on all systems.

  • Volume Management: Handle an average of 10-30 calls daily, with the understanding that call volume may increase during peak seasons or busy periods.

  • Training Commitment: Attend 100% of required training sessions during the first 90 days of employment to ensure you are fully prepared for success in this role.

  • Remote Work Excellence: Maintain a professional home office environment, enjoying the flexibility of a work-from-home lifestyle while staying connected with coworkers and customers through virtual collaboration tools.

  • Documentation: Accurately document all interactions, decisions, and follow-up actions in our customer relationship management systems.

  • Compliance: Adhere to all company policies, procedures, and regulatory requirements related to healthcare privacy and data security.

Essential Qualifications

  • Education: High School diploma or equivalent is required. Some college education or related certifications is a plus.

  • Experience: Generally, 1-5 years of call center and customer service experience is preferred. Recent graduates with strong communication skills are also encouraged to apply.

  • Home Office Setup: A dedicated workspace with no distractions is required. This must be a quiet, professional environment where you can focus on customer interactions without interruption.

  • Technical Proficiency: Competent computer skills with familiarity with Microsoft Office Suite (Word, Excel, Outlook) and a working knowledge of Windows operating systems.

  • Communication Skills: Strong written and verbal communication skills are essential. You must be able to articulate information clearly and professionally.

  • Critical Thinking: Excellent problem-solving abilities and critical thinking skills to evaluate requests and make appropriate decisions.

  • Interpersonal Skills: Outstanding interpersonal communication skills with the ability to build rapport with healthcare providers, pharmacists, and patients.

  • Attention to Detail: Strong organizational skills and meticulous attention to detail to ensure accuracy in all documentation and decision-making.

  • Emotional Resilience: Ability to remain calm, composed, and helpful even when dealing with difficult situations, frustrated callers, or high-pressure scenarios.

Work Schedule and Training Requirements

Regular Schedule: Must be able to work any schedule between 8:00 AM and 9:00 PM Eastern Time, Monday through Friday. Permanent shifts will be assigned before the completion of initial training.

Training Schedule: Initial training will be conducted Monday through Friday, 9:00 AM to 5:30 PM for approximately 4 weeks. Following the classroom training, you will undergo on-the-job training (OJT) typically lasting 2 weeks. Attendance is mandatory for all training sessions during the first 90 days of employment.

Flexibility: Must be flexible to support extended hours and overtime as determined by business needs to meet customer expectations. Peak periods may require additional availability.
