Position Summary
arenaflex is currently seeking a highly organized and detail-oriented Remote Data Entry Clerk to join our dynamic team. Key Responsibilities
As a Data Entry Clerk at arenaflex, you will play a vital role in ensuring the smooth administration of client files. Your responsibilities will include:
- Documentation Management: Prepare documentation for filing and associated correspondence, ensuring all materials are properly organized and compliant with our internal protocols.
- Information Gathering: Obtain all proper supporting information and documentation to ensure efficient administration of files, including but not limited to income tax filings, other tax documents, and asset realizations.
- Creditor and Debtor Relations: Respond in a timely manner to ongoing queries and requests from both creditors and debtors, maintaining professionalism and accuracy in all communications.
- Cross-Functional Collaboration: Liaise with the administration team, including assisting with obtaining information, documentation, and following up on complex issues requiring input and interpretation.
- Database Management: Utilize Microsoft Dynamics CRM to extract file details and information, ensuring all data is accurately recorded and easily accessible.
- File Completeness Review: Prepare and review files for completeness, following up on outstanding documents to ensure timely processing.
- Issue Resolution: Liaise with internal clients for clarification and issue resolution, demonstrating strong problem-solving skills and effective communication.
- Document Organization: Organize file documents in accordance with our naming protocols, maintaining a systematic and efficient filing system.
- Financial Calculations: Perform calculations for income and surplus income obligations with precision and attention to detail.
- Regulatory Compliance: Understand and perform relevant legal requirements across multiple provincial jurisdictions, ensuring all processes comply with Canadian laws and regulations.
- Searches and Valuations: Perform comprehensive searches for insolvency records, Personal Property Security Act registrations, house valuations, and computation of realizable value.
- Document Creation: Create all documents required for client signatures, ensuring accuracy and completeness.
- Quality Assurance: Review sign-up documents for accuracy and policy compliance, then file documents with the Official Receiver as required.
- Data Transfer: Accurately transfer pertinent information from written and scanned records into Ascend, our internal software system.
- Confidentiality Maintenance: Maintain client confidence and protect operations by keeping all information strictly confidential.
- External Client Communication: Liaise with external clients for clarification or outstanding documents, maintaining professional relationships.
- Electronic Filing: Perform electronic filing of statutory documents with precision and attention to deadlines.
- Digital Document Preparation: Prepare documents for DocuSign, ensuring all required fields are completed accurately.
- Proposal Review: Review amended proposals and provide feedback as needed.
- Additional Duties: Perform other tasks as assigned to support team operations and organizational goals.
Essential Qualifications
To succeed in this role at arenaflex, candidates must possess the following qualifications:
- Proven experience performing data entry with a demonstrated high level of accuracy (minimum 95% accuracy rate preferred)
- Extremely detail-oriented mindset with the ability to identify discrepancies and errors
- Exceptional organizational and prioritization skills to manage multiple files and deadlines simultaneously
- Proficient technical skills and familiarity with Microsoft Office applications (Outlook, Excel, Word)
