Position Overview

As a Trip Assignment Specialist at arenaflex, you will play a critical role in our operations center, serving as the backbone of our nightly dispatch activities. Your primary responsibility will be assigning trips to our team of dispatchers and contracted Care Partners, ensuring that every member receives timely and efficient transportation services. In addition to trip assignments, you will occasionally handle inbound calls from members and coordinate trips in real-time as they come in during evening hours.

This position requires someone who can work independently, demonstrates strong problem-solving abilities, and maintains composure under pressure. You will be working during our overnight hours (11:30 PM to 8:00 AM Pacific Time), Monday through Friday, which allows us to provide around-the-clock support to our members and healthcare partners.

Key Responsibilities

As a Trip Assignment Specialist at arenaflex, your duties will encompass a wide range of operational tasks designed to ensure seamless transportation coordination. Below is a detailed breakdown of your primary responsibilities:

• Trip Assignment Management: Efficiently assign between 700 and 900 trips per night to our dispatchers using our proprietary Health-E Rides system. You will ensure that each trip is matched with the most appropriate dispatcher based on availability, location, and member preferences.


• Schedule Development: Build and maintain daily schedules for dispatchers, carefully factoring in required breaks and lunch periods to ensure compliance with labor regulations and team wellness.


• Language-Based Routing: Determine which dispatchers are eligible for specific trips based on the language spoken by the member, ensuring clear communication and culturally competent service delivery.


• Care Partner Coordination: Stack trips to contracted Care Partners, optimizing routes and maximizing efficiency while maintaining high standards of member care.


• Inbound Call Handling: Answer inbound calls from members during evening hours, addressing inquiries, providing trip confirmations, and offering exceptional customer service.


• Real-Time Trip Coordination: Coordinate evening trips as they come in, adapting quickly to changes, cancellations, or urgent requests from healthcare providers or members.


• Administrative Support: Assist with Care Partner-related administrative tasks, including payment processing, billing inquiries, and documentation verification.


• Ticket Management: Handle Level 1 administrative tickets in Zendesk, resolving member and partner concerns efficiently and documenting all interactions for quality assurance purposes.


• Quality Assurance: Monitor trip assignments for accuracy, identify potential issues before they escalate, and collaborate with team leads to implement process improvements.


• System Navigation: Maintain proficiency in our transportation management systems and other technology platforms, ensuring accurate data entry and seamless workflow integration.

Essential Qualifications

To succeed in this role, candidates must meet the following requirements:

• Previous Dispatching Experience: Demonstrated experience in dispatching and coordinating transportation, preferably in a healthcare or medical transportation setting. You should be comfortable managing multiple tasks simultaneously and prioritizing effectively.


• Healthcare Industry Background: Familiarity with healthcare operations and patient care principles is highly preferred. Understanding of medical terminology, HIPAA considerations, and the unique needs of patients requiring non-emergency transportation will be valuable.


• Reliability and Punctuality: A consistent track record of being dependable and punctual is essential. You must be able to work your scheduled shifts completely and maintain excellent attendance.


• Evening Shift Availability: Must be available and willing to work evening shifts from 11:30 PM to 8:00 AM Pacific Time, Monday through Friday.

• Experience working in a call center or customer service environment, particularly in the healthcare or transportation sectors.


• Knowledge of geographic routing and familiarity with local transportation networks.


• Fluency in multiple languages, particularly Spanish or other commonly spoken languages in our service areas.


• Previous experience with Zendesk or similar ticketing systems.


• Certification or training in medical transportation coordination or healthcare navigation.
