You will be responsible for the scheduling and selection of reviewers for referrals received within the arenaflex Network, ensuring that every case is handled with precision, timeliness, and the highest level of professional expertise. Key Responsibilities and Daily Tasks

Handling Receipt of New Cases
- Intake new cases and meticulously review and verify all information and requests to ensure accuracy and completeness
- Draft cases by entering essential information into the arenaflex proprietary system, AccessDS, with unwavering attention to detail
- Collaborate directly with clients to identify and resolve any missing information pertinent to processing claims efficiently
- Sort, organize, and create comprehensive medical document listings as required by specific clients, ensuring all documentation aligns with special handling instructions and quality standards
Oversight and Management of Cases
- Monitor, process, and track cases throughout their lifecycle to ensure we consistently meet all deadlines and service level agreements
- Proactively identify potential bottlenecks and implement solutions to maintain workflow efficiency
- Maintain detailed case notes and documentation to support audit requirements and quality assurance initiatives
- Utilize tracking systems to provide status updates and ensure transparency in case progress
Assignment and Scheduling of Cases
- Assign and schedule new cases to qualified physicians for medical review, ensuring optimal matching based on location, reviewer availability, specific guidelines, jurisdictional requirements, and client-specific criteria
- Ensure complete conflict-of-interest screening for every assigned physician, maintaining the highest standards of impartiality and professional integrity
- Manage physician scheduling to maximize throughput while maintaining quality standards
- Coordinate with our technical team to resolve any system-related scheduling issues
Client Interaction and Communication
- Provide frequent updates to clients on cases in progress, maintaining proactive and transparent communication
- Serve as the primary point of contact for addressing questions regarding referral information, ensuring proper documentation and complete information is provided to assigned reviewers
- Escalate complex issues appropriately and collaborate with management to resolve client concerns
- Ensure proper documentation for all specified cases is provided to clients in a timely manner
- Build and maintain strong client relationships through professional, responsive, and empathetic communication
Essential Qualifications and Requirements
To succeed in this role, candidates must possess the following required qualifications and experience:
- Minimum of 1 year of experience working in an administrative or clerical role in a business office environment is required
