Position Overview
arenaflex is currently seeking a detail-oriented and motivated Entry-Level Investment Operations Specialist to join our growing team. This is a remote position that offers the flexibility of working from home while contributing to critical daily reconciliation, trade processing, and transfer activities for various investment products. As an Investment Operations Specialist, you will be responsible for processing exchange buy and sell transactions in client accounts, identifying and resolving discrepancies between arenaflex and fund companies or transfer agents, and ensuring seamless handling of corporate activity events. Your attention to detail and commitment to accuracy will directly contribute to maintaining client satisfaction, preventing account attrition, and upholding arenaflex's reputation for excellence.
This position requires strong communication skills and the ability to collaborate effectively with internal teams and external business partners. You will interact with Retail and Institutional Business Teams through various channels including email, phone, messaging platforms, and customer relationship management systems. Daily engagement with fund companies, transfer agents, clearing firms, and other external partners is essential for successful job performance.
Key Responsibilities
As an integral part of our Operations team, you will be entrusted with the following responsibilities:
Transaction Processing and Management
- Process exchange buy and sell transactions accurately and efficiently in customer accounts, ensuring all trades are executed in accordance with client instructions and regulatory requirements
- Review membership deals or transaction requests to verify completeness, accuracy, and compliance with established procedures
- Handle client and advisor-level exceptions with professionalism and urgency, documenting all actions taken and resolutions reached
- Complete client investment and dividend requests in a timely and accurate manner, meeting all established service level agreements
Reconciliation and Break Resolution
- Perform daily reconciliation activities between arenaflex systems and fund company records to identify and resolve any discrepancies
- Identify, analyze, and address breaks recognized between arenaflex and fund businesses or transfer representatives
- Settle and reconcile transfer activity ensuring all incoming and outgoing transfers are processed accurately
- Process and reconcile returns activity including dividends, interest payments, and other investment distributions
- Reconcile corporate actions including stock splits, mergers, acquisitions, and other corporate events affecting client holdings
Regulatory Compliance and Quality Control
- Ensure regulatory compliance with applicable regulations including Rules 2340 and 15C3-3 governing customer protection and operational requirements
- Evaluate and analyze relevant tax codes and ensure accurate tax coding for various investment products and transactions
- Maintain documentation of all reconciliation activities, exceptions, and resolutions for audit and regulatory review purposes
Problem Solving and Issue Resolution
- Research complex and escalated issues requiring in-depth analysis and creative problem-solving approaches
- Investigate the origin of breaks between arenaflex, fund companies, and other business partners to implement permanent solutions
- Identify and document internal and external system enhancements or issues that impact operational efficiency
- Recommend process or technology solution options to management for improving operational workflows
- Remediate transmission problems with fund companies or contra agencies to ensure seamless data exchange
Client and Business Partner Service
- Respond to business partner inquiries regarding fund-specific requirements, eligibility criteria, and operational procedures
- Provide follow-up on alternative investment moves to expedite client requests or resolve not-in-good-order issues
- Coordinate daily relationships with clearing firms, fund companies, transfer agents, and other external business partners
- Communicate effectively with internal stakeholders including Retail and Institutional Business Teams to ensure alignment and customer satisfaction
Technology and Process Enhancement
- Perform testing and validation of new technology developments and provider changes before implementation
- Participate in system upgrade projects and provide operational insights for process improvements
- Contribute to continuous improvement initiatives aimed at enhancing efficiency and reducing errors
Essential Qualifications
To succeed in this role, candidates must meet the following requirements:
- Education: Bachelor's degree in Finance, Accounting, Business Administration, or a related field is preferred. Equivalent combination of education and experience will be considered
