Position Overview
As a Data Entry Clerk at arenaflex, you will play a critical role in maintaining the integrity and confidentiality of our client records. You will be responsible for organizing, maintaining, and securing all client files, charts, and documentation while ensuring compliance with privacy standards and organizational policies. Additionally, you will handle billing and admissions data entry, process assessment fees, and generate accurate reports for management review.
This position requires a high level of accuracy, attention to detail, and the ability to manage sensitive information with discretion. Key Responsibilities
As an essential member of our administrative team, you will be responsible for the following duties:
- Client Records Management: Organize, maintain, and update all client records, charts, and files in a systematic and efficient manner. Ensure all documentation is accurate, complete, and readily accessible when needed.
- Data Entry & Processing: Perform accurate and timely data entry of client information, admissions data, and billing details into our database systems. Maintain a high level of accuracy to prevent errors that could impact client services or organizational operations.
- Confidentiality & Security: Ensure the accountability, confidentiality, and security of all client records. Adhere strictly to privacy regulations and organizational policies regarding sensitive information.
- Fee Collection & Processing: Collect, process, and secure assessment fees from clients. Maintain proper documentation of all transactions and ensure revenue is accurately recorded.
- Report Generation: Generate comprehensive reports regarding client admissions, billing activities, and assessment fee collection. Present findings to management as requested and identify any discrepancies or areas for improvement.
- File Management: Sort and file documents alphabetically and numerically according to established organizational standards. Maintain an organized filing system that allows for efficient retrieval of information.
- Office Equipment Operation: Effectively operate office materials and equipment, including computers, printers, scanners, and multi-line telephone systems.
- Collaboration: Work closely with other departments, including admissions, case management, and finance teams, to ensure seamless coordination of client services.
- Quality Assurance: Perform regular audits of data entry work to identify and correct errors. Implement best practices to improve accuracy and efficiency.
- Compliance: Follow all organizational policies and procedures, as well as applicable federal, state, and local regulations related to data management and client confidentiality.
Essential Qualifications
To succeed in this role, candidates must meet the following requirements:
- Education: High school diploma or General Education Development (G.E.D.) certificate is required.
- Experience: Minimum of two years of general office experience, including typing and/or keypunching data into computer systems. An equivalent combination of relevant training and experience that provides the required knowledge, skills, and abilities will also be considered.
- Technical Skills: Proficiency in Microsoft Word and Excel applications, with the ability to create and maintain spreadsheets effectively.
- Language Skills: Ability to read, write, and communicate effectively in the English language.
- Mathematical Skills: Ability to perform basic mathematical equations accurately.
- Organizational Skills: Strong ability to sort and file documents alphabetically and numerically with precision.
- Typing Proficiency: Ability to type and keypunch data into a computer with a high rate of accuracy in a timely manner.
- Confidentiality: Demonstrated ability to maintain the confidential nature of sensitive information.
- Attendance: Ability to meet consistent attendance requirements and be punctual.
Preferred Qualifications & Skills
While not required, the following qualifications and skills will be considered a strong advantage:
- Previous experience working in a non-profit organization or social services setting.
