Position Overview
We are currently seeking dedicated and detail-oriented professionals to fill the role of Customer Care and Pharmacy Data Entry Specialist. This position is essential to our operations, as you will be responsible for processing new patient enrollments, handling high-volume customer requests, and ensuring accurate prescription data entry in compliance with state and federal regulations. Working under direct supervision, you will maintain adherence to company policies and procedures while representing arenaflex with professionalism and compassion.

Key Responsibilities
As a Customer Care and Pharmacy Data Entry Specialist at arenaflex, your daily responsibilities will include but are not limited to:
- Patient Enrollment & Data Management: Process new patient enrollment by accurately entering information into our pharmacy management systems according to established protocols and guidelines. Ensure all data is captured correctly to facilitate seamless prescription processing and patient care.
- Prescription Data Entry: Utilize arenaflex's prescription data entry procedures to process new prescriptions and refill requests within HIPAA guidelines. Enter prescription information with precision, interpreting clinical abbreviations and SIG codes to ensure accuracy.
- Exception Resolution: Investigate and resolve all data entry-related exceptions, including identifying and rectifying missing prescription information. Escalate complex issues to senior staff members as appropriate while maintaining documentation of all resolutions.
- Patient Communication: Handle incoming calls, emails, and in-person inquiries from patients with professionalism and empathy. Make outbound calls to prescribers and patients as needed to resolve issues, obtain authorizations, or follow up on prescription status.
- Third-Party Resolution: Address and resolve third-party rejections by assessing situations, gathering necessary information, and resubmitting claims according to specific plan requirements. Communicate with insurance providers and other stakeholders to obtain override approvals or gather essential information.
- Pharmacist Support: Provide administrative and operational support to pharmacists both in your local office and at other locations. Identify potential issues and communicate them promptly to senior-level team members.
- Compliance & Documentation: Maintain strict adherence to all company policies, state regulations, and federal guidelines. Ensure proper documentation and confidentiality of all patient information.
- Licensure & Certification: Obtain an active pharmacy technician license or certification within the first 90 days of employment and maintain active status throughout your tenure.
Essential Qualifications
To be considered for this role, candidates must meet the following minimum requirements:
- Education: High school diploma or equivalent (GED) required.
- Age Requirement: Must be 18 years of age or older at the time of application.
- Computer Skills: Basic proficiency with computers, including the ability to start up and shut down systems, use mouse functions, open and close programs, switch between applications, save documents, print materials, and access information online.
- Internet Skills: Fundamental web browser proficiency, including opening browsers, entering URLs correctly, using search engines, bookmarking sites, navigating with back/forward/stop buttons, and completing online forms.
- Keyboard Skills: Intermediate keyboarding abilities with a minimum typing speed of 25 words per minute (WPM), including typing from memory and organizing documents.
- Communication Skills: Strong written and verbal communication skills, with the ability to interact professionally with patients, healthcare providers, and team members.
- Regulatory Compliance: Willingness and ability to obtain required pharmacy technician licensure or certification within 90 days of hire.
Preferred Qualifications
While not strictly required, the following qualifications will give you a competitive edge:
- At least 1 year of pharmacy technician experience in a retail or call center environment.
- 1.5+ years of pharmacy technician experience with current state certification/registration from the State Board of Pharmacy or nationally recognized credentialing organization.
- Demonstrated experience providing exceptional customer service to both internal and external clients, including meeting quality service standards and customer satisfaction metrics.
- Advanced keyboarding skills with a typing speed of 35+ WPM and the ability to type from memory while organizing documents efficiently.
- Bilingual proficiency in Spanish and English (verbal and written).
- Familiarity with pharmacy management software and electronic health record systems.
- Knowledge of insurance processing, prior authorization procedures, and third-party billing.
