What You’ll Be Owning
This is a core admin role supporting the solar installation workflow from contract to completion. You will help keep job data, schedules, and compliance records accurate and on track.
You’ll take the lead on:
Updating and maintaining customer and job records in CRM and job management systems
Uploading contracts, site plans, and service updates with 100 percent accuracy
Managing installation scheduling based on team priorities and deadlines
Flagging data or system issues that could affect job flow
Communicating with internal teams (Sales, Finance, Operations) via Teams or 3CX
Completing time-sensitive tasks using Asana with proper prioritization
Managing your own workload and flagging delays early
Using Microsoft Copilot and SOPs to self-serve process instructions
Important: You won’t be left guessing. You’ll have structured onboarding, defined metrics, and support when you need it.
How the Workflow Actually Works
Tasks assigned and tracked via Asana
SOP access via SharePoint and Microsoft Copilot
Communication via Microsoft Teams and 3CX
CRM: HubSpot (or similar), Job Management: Tradify
Daily focus time and weekly check-ins
Expectations based on output quality, timeliness, and system accuracy
You’ll always know what needs to be done, when it’s due, and how your work is measured.
This Role Is a Great Fit If You:
Have 3+ years of admin, ops, or back-office experience
Have used CRMs (e.g., HubSpot, Salesforce) and job management tools (Tradify)
Are confident using Excel (basic filters, no advanced formulas required)
Communicate clearly with internal teams and raise issues early
Work well under structured systems and time-sensitive tasks
Are available for a consistent day shift (5:30 AM to 10:30 AM PHT) aligned with Adelaide time
Have a distraction-free work environment and dual-screen setup

Have experience in solar, construction, logistics, or field-service coordination
