Position Overview
Are you a highly organized and proactive professional who thrives on making things run smoothly and efficiently? If so, we have an exciting opportunity for you to join arenaflex as our Operations Manager.
This pivotal role ensures the productive daily functioning of arenaflex's physical office space and facilities, including our hybrid workspace arrangements. The Operations Manager is responsible for enhancing operational capabilities through the development and execution of functional plans, emergency preparedness protocols, and comprehensive project management initiatives.
As the Operations Manager, you will oversee our IT infrastructure systems and implementation while ensuring regulatory compliance and efficient procurement processes. You will collaborate closely with the Deputy Director and Senior HR Manager as part of the Operations team to manage, maintain, and refine internal system functionalities—including organizational goal achievement, information technology (IT) initiatives, internal operational projects, and overall office management.
Key Responsibilities
As an integral part of our leadership team, the Operations Manager will be responsible for:
- Office Operations Leadership: Direct and manage daily office functions including monitoring and responding to emails on arenaflex phones, greeting visitors, processing incoming and outgoing mail, handling office supply requisitions, preparing bank deposits, and arranging weekly bank trips to deliver deposits. Ensure checks are packaged and delivered promptly.
- Facilities Management: Oversee comprehensive maintenance, improvements, and space planning to ensure optimal efficiency of the office environment. Serve as the primary contact for all office and building matters, including maintenance issues, audits, backup systems, procurement, and inventory of equipment, furniture, office supplies, computers, and other technology assets.
- Systems Administration: Act as primary administrator for all shared systems, including shared contacts, distribution records, and cloud-based platforms such as project management tools, document collaboration software, business platforms, security systems, HR information systems, video conferencing platforms, and all associated written policies.
- IT Infrastructure Management: Manage the organization's IT needs, including troubleshooting and communicating with IT vendors for network support. Ensure IT meets industry standards, manage hardware and software requirements including installation, evaluate technology initiatives according to established goals, establish IT policies and systems, and work collaboratively with management and staff to ensure an efficiently functioning, forward-thinking technological workplace. Analyze business requirements to determine technology needs and assist with planning future upgrades.
- New Employee Onboarding: Provide task direction for all new employees, including worker introductions, office tours, technology onboarding, sharing of systems and practices, and a review of arenaflex's office operations to support a welcoming onboarding process.
- Event Support: Work with and provide logistical support for internal staff events including monthly all-hands meetings and weekly team standups. Provide backup technical and logistical support for external events, conferences, and webinars as needed.
- Compliance & Confidentiality: Ensure the confidentiality of sensitive information both internally and externally. Work in partnership with the Deputy Director on risk management and compliance initiatives.
Essential Qualifications
To succeed in this role, you must possess:
- A Bachelor's degree combined with three years of relevant experience or equivalent education.
- Strong project management skills with exceptional attention to detail.
- Ability to self-direct, prioritize tasks, and work on multiple projects simultaneously.
- Capacity to work independently, take initiative, and make independent, informed decisions.
- A passion for learning and a growth mindset.
- Flexibility with strong analytical and problem-solving abilities.
- Advanced IT, HRIS, and database knowledge with strong computer skills including proficiency with Microsoft 365 suite, video conferencing platforms, collaboration tools, and standard office applications.
- Ability to function well in a professional yet fun team environment, including respect for different styles and characters, enthusiasm for collaboration, communication, and celebration.
- Experience with change management including strategic planning, execution, and communication.
- Discretion and sensitivity in maintaining confidentiality as appropriate.
- Excellent written and oral communication skills, for both informal and formal communications, including listening, speaking, writing, and facilitating discussions where diverse opinions exist.
- Proficiency in written and spoken English required.
Preferred Qualifications & Experience
While we welcome all qualified candidates, the following experience and skills are highly valued:
- Previous office management experience in a professional setting.
- Demonstrated experience with change management, new software deployment, and systems development, implementation, and maintenance.
- Experience managing a small business (25-35 staff) IT environment.
- Formal project management training or certification.

Compensation & Benefits
We offer a competitive compensation package that includes:
- Annual Salary: $35,000 - $40,000 per year (commensurate with experience and qualifications).
