As a key member of our team, the Part-Time Data Entry Clerk / Administrative Assistant will play a vital role in supporting our staff and ensuring the smooth operation of our facility. Job Summary We are seeking an experienced and detail-oriented Part-Time Data Entry Clerk / Administrative Assistant to join our team. As a key member of our administrative support team, you will provide critical support to our staff and ensure the efficient operation of our facility. This is a remote position, and you will work closely with our ADU/CRC staff to provide back-up support during high-volume periods. Key Responsibilities As a Part-Time Data Entry Clerk / Administrative Assistant, you will be responsible for the following key tasks: * Data Entry and Reporting: Use spreadsheets or databases to organize information and produce standard reports. Prepare a variety of complex disbursement forms, including check requests, travel forms, cash sheets, and journal entries, for routing and approval. * Accounting and Financial Management: Set up accounts, reconcile ledgers, gather data for budget preparation, prepare accounting forms, and reconcile daily receipts or accounts receivable/payable. * Procurement and Logistics: Verify requests for goods and services against County contracts and funding sources, order goods or services, and follow up on discrepancies to ensure delivery. * Administrative Support: Establish, modify, and maintain a system for tracking the progress of work, train new employees, provide and explain relevant policies and procedures, and compose routine correspondence on behalf of management. * Scheduling and Coordination: Schedule and cancel appointments, maintain calendars, schedule rooms for classes, meetings, and conferences, coordinate audio visual and training equipment, and type complex documents of a technical nature. * Payroll Processing: Verify timesheets, research and resolve payroll discrepancies, complete and verify data entry, distribute paychecks, and provide information and answers to staff regarding payroll issues. * Data Management: Act as a departmental resource in data management systems, provide training to new users, and coordinate Family and Medical Leave according to policies, procedures, and guidelines. Requirements To be successful in this role, you will need: * High School Diploma or Equivalent: A high school diploma or equivalent is required. * Administrative Support Experience: Two years of administrative support experience is required. * Associate's Degree in Business Administration or Related Field: An Associate's Degree in Business Administration or a related field is preferred. * Experience and Education: Experience can substitute for education, and education can substitute for experience. Skills and Competencies To excel in this role, you will need: * Strong Organizational and Time Management Skills: Ability to prioritize tasks, manage multiple projects, and meet deadlines. * Excellent Communication and Interpersonal Skills: Ability to communicate effectively with staff, management, and external stakeholders. * Technical Skills: Proficiency in Microsoft Office, including Excel, Word, and Outlook. * Analytical and Problem-Solving Skills: Ability to analyze data, identify discrepancies, and resolve issues. * Attention to Detail: Ability to maintain accuracy and attention to detail in data entry and reporting.
