**Responsibilities**
As a Customer Service Representative, you'll be responsible for:
* Organizing office operations and assisting associates in optimizing procedures to ensure seamless day-to-day activities
* Sorting and distributing communications in a timely manner, ensuring that all stakeholders receive accurate and timely information
* Creating and updating records, maintaining the accuracy and validity of information, and ensuring compliance with established policies
* Scheduling and planning meetings and appointments, ensuring that all necessary parties are informed and prepared
* Monitoring the level of supplies and handling shortages to prevent disruptions to our operations
* Resolving office-related malfunctions and responding to requests or issues in a timely and professional manner
* Coordinating with other departments to ensure compliance with established policies and procedures
* Maintaining trusting relationships with suppliers, customers, and colleagues through excellent communication and interpersonal skills
* Performing receptionist duties when needed, providing a warm and welcoming experience for our clients and visitors
**Preferred Skills**
While we're open to training the right candidate, we're looking for someone with:
* Proven experience as a back-office assistant, office assistant, or in another relevant administrative role
* Knowledge of "back-office" computer systems, including experience with software applications and databases
* Working knowledge of office equipment, including printers, scanners, and photocopiers
* A thorough understanding of office management procedures, including record-keeping and data entry
* Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines
* Analytical abilities and aptitude in problem-solving, with a focus on finding creative solutions to complex challenges
* Excellent written and verbal communication skills, with the ability to communicate effectively with colleagues, clients, and stakeholders
* Proficiency in MS Office, including Word, Excel, and Outlook
* Knowledge of QuickBooks and Excel, with experience in data analysis and financial reporting
