What You'll Do: Key Responsibilities
As an Expeditor at arenaflex, you will play a crucial role in ensuring the smooth flow of materials and information that keeps our operations running efficiently. Your attention to detail and proactive approach will be essential in managing the complex supply chain processes that are vital to our success.
- Vendor Coordination: Communicate clearly and effectively with external vendors to expedite the arrival of critical parts and materials exactly as needed to support the organization's standard material goals. You'll build strong relationships with suppliers while ensuring timely delivery.
- AOG (Aircraft on Ground) Support: Works with AOG orders as required, prioritizing urgent requests and coordinating rapid solutions to minimize downtime and operational disruptions.
- Supplier Management: Track and manage overdue requests to suppliers, ensuring that critical timelines are met and any delays are promptly addressed with appropriate escalation procedures.
- Maintenance & Transport Planning: Handle maintenance and transport arrangements along with comprehensive inventory reports to determine the priority of materials required for ongoing operations.
- Cross-Functional Collaboration: Provide transportation and logistics information to internal workgroups, ensuring all departments have the data they need to make informed decisions and maintain operational continuity.
- Documentation Management: Update FMR (Flight Maintenance Release) or log pages with current vehicle information, maintaining accurate records that reflect real-time operational status.
- Reporting & Analysis: Create and update Excel-based reports, status updates, and visual diagrams for management visibility, enabling data-driven decision-making across the organization.
- Purchasing Systems Administration: Maintain appropriate purchasing records and data within purchasing software programs, ensuring data integrity and compliance with organizational procedures.
- Buyer Support: Assist Purchasers with obtaining clarification on purchase orders and tracking order status, serving as a vital link between procurement and operational teams.
- Discrepancy Resolution: Work with internal departments as well as vendors to address any discrepancies in transportation, invoicing, quality, part numbers, and quantities that could impact operations.
- Invoice Management: Assist Supervisors in resolving invoice issues, ensuring financial accuracy and maintaining strong vendor relationships through transparent communication.
- Risk Identification: Work with Vendor Management teams to identify potentially hazardous situations and implement preventive measures to maintain a safe working environment.
What We're Looking For: Qualifications & Requirements
Essential Qualifications
- Education: Bachelor's Degree required, demonstrating a solid academic foundation in business, operations management, or a related field.
- Experience: Minimum of 1 year in warehouse operations, expeditor roles, or Supply Chain understanding. This experience should have provided you with practical knowledge of inventory management, logistics coordination, and vendor relations.
- Technical Proficiency: Strong knowledge and worth in Microsoft Office, particularly Excel, Word, and other productivity tools. You should be comfortable creating spreadsheets, generating reports, and using data analysis features.
- Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with vendors, internal teams, and leadership.
- Problem-Solving Abilities: Strong analytical skills and proactive issue resolution capabilities. You should be able to identify challenges and implement effective solutions quickly.
