Position Overview
The Entry Level Investment Operations Specialist will play a critical role in ensuring the accurate processing and reconciliation of investment transactions. This position is ideal for detail-oriented individuals who thrive in a fast-paced environment and are eager to develop expertise in investment operations, trade processing, and client service.
Working from home, you will be responsible for managing daily reconciliation activities, processing buy and sell transactions, and resolving any discrepancies identified between clearing firms and fund companies or transfer agents. Your work will directly impact client satisfaction, account retention, and the overall operational excellence of arenaflex.
Key Responsibilities
Transaction Processing
- Process exchange buy and sell transactions in customer accounts with precision and timeliness
- Review membership deals or transaction requests to ensure accuracy and compliance
- Execute client investment and dividend requests in a timely and accurate manner
- Handle corporate activity events, including mergers, acquisitions, and stock splits
Reconciliation & Problem Resolution
- Perform daily reconciliation of trades, transfers, and investment activities
- Identify, analyze, and resolve breaks or discrepancies between arenaflex and fund companies or transfer agents
- Reconcile activity across multiple systems and ensure alignment between internal platforms and external partners
- Investigate and remediate transmission problems with fund companies or contra agencies
- Research and resolve complex or escalated issues as they arise
Compliance & Regulatory Adherence
- Ensure compliance with regulatory obligations, including applicable financial regulations and internal policies
- Maintain awareness of relevant tax codes and ensure accurate tax coding for transactions
- Address client/advisor level exceptions with professionalism and accuracy
- Document all processes and resolutions thoroughly for audit and quality assurance purposes
Technology & Process Enhancement
- Participate in testing and validation of new technology enhancements and provider changes
- Contribute to internal/external system improvements and identify opportunities for automation
- Provide recommendations to management regarding process or technology solutions
- Stay current with industry best practices and evolving operational requirements
Client & Partner Communication
- Communicate professionally with retail and institutional business teams via email, phone, and collaboration tools
- Coordinate daily with clearing firms, fund companies, transfer agents, and other external business partners
- Respond to service partner inquiries regarding fund requirements and eligibility
- Provide follow-up on investment transfers to expedite client requests or resolve not-in-good-order issues
Essential Qualifications
- Education: High school diploma or equivalent required; associate's or bachelor's degree in finance, business, accounting, or related field preferred
- Experience: Entry level – no prior industry experience required; relevant internship or customer service experience is a plus
- Technical Skills: Proficiency with Microsoft Office Suite (Excel, Outlook, Word); familiarity with financial systems and CRM platforms (Salesforce experience is beneficial)
- Communication Skills: Strong written and verbal communication abilities
- Attention to Detail: Exceptional accuracy in processing transactions and identifying discrepancies
- Time Management: Ability to prioritize tasks and meet deadlines in a fast-paced environment
