Position Overview

The Energy Services Data Entry Clerk will serve as an essential pillar of support for our Energy Services Programs, ensuring that all client records, communications, and documentation are accurately maintained and readily accessible. This remote position requires a detail-oriented professional who can work independently while remaining connected to our team through digital platforms and regular communication.

You will be responsible for managing the digital lifecycle of client information, from initial intake through ongoing case management. Your work will directly impact our team's ability to deliver timely and effective services to families struggling with energy costs. Key Responsibilities

As an Energy Services Data Entry Clerk at arenaflex, your daily responsibilities will include:

  • Client Record Management: Input and maintain updated client status records in the Statewide Client Service Center, ensuring the production pipeline accurately reflects current caseloads and service delivery statuses.
  • Communication Monitoring: Monitor incoming emails and promptly log all documents and communications in the Monday.com platform to ensure nothing falls through the cracks.
  • Database Compliance: Follow program guidelines meticulously when using all required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and any other systems as assigned.
  • File Organization: Maintain organized digital and paper participant files in strict accordance with program guidelines, ensuring full compliance with agency and funder requirements at all times.
  • Team Collaboration: Work closely with program staff to support, enhance, and promote communication and consistency in the delivery of services to our clients.
  • General Clerical Support: Assist with various clerical duties including filing, mailings, phone coverage, and other administrative tasks as needed.
  • Remote Work Availability: Maintain consistent availability for remote work, including attending virtual meetings, responding to emails promptly, and conducting regular duties as required.
  • Professional Development: Attend all required staff meetings, supervision sessions, training programs, and contractual meetings to stay current with program requirements and best practices.
  • Confidentiality: Ensure strict confidentiality is maintained in all aspects of the role, protecting sensitive client information with the highest level of professionalism and ethical standards.
  • Additional Duties: Perform related work as required, adapting to the evolving needs of the program and organization.

Required Qualifications and Skills

To succeed in this role, candidates must meet the following requirements:

  • Education: Associate degree or equivalent professional experience is required. We value diverse educational backgrounds and recognize that relevant experience can sometimes supersede formal education.
  • Experience: A minimum of two years of experience in Human Services or a related field is required. This should include working with diverse individuals and families with low incomes, demonstrating your ability to navigate sensitive situations with empathy and professionalism.
  • Substitution Policy: Additional appropriate education may be substituted for experience, or additional directly related experience may be substituted for education. We encourage applicants to apply if they believe their unique background qualifies them for this role.

  • Communication Skills: Strong written and verbal communication skills, with the ability to document information accurately and professionally.
  • Organizational Abilities: Exceptional attention to detail and the ability to manage multiple tasks simultaneously while maintaining accuracy.
  • Remote Work Skills: Self-motivated and disciplined enough to thrive in a remote work environment, including maintaining productivity and communication without direct supervision.

Preferred Qualifications

While not required, the following qualifications would make you an even stronger candidate:

  • Prior experience working in energy assistance programs or utility assistance services.
  • Familiarity with state and federal assistance programs such as LIHEAP (Low Income Home Energy Assistance Program).
  • Experience with case management software commonly used in non-profit human services settings.
  • Knowledge of confidentiality requirements and best practices in handling sensitive client information.
  • Previous remote work experience demonstrating strong self-management skills.
