Position Overview
As a valued member of our Energy Services team, the Data Entry Clerk will play a critical role in maintaining organized, up-to-date digital records that support the day-to-day operations of our programs. This remote position offers the flexibility of working from home while remaining an integral part of our collaborative team environment. You will be responsible for managing client information, tracking program progress, and ensuring compliance with regulatory standards across multiple database systems.

Key Responsibilities
- Client Records Management: Input and maintain updated client status records in the Statewide Client Service Center, accurately reflecting the current production pipeline and ensuring all information is current and accessible.
- Communication Monitoring: Monitor emails and log documents and communications in the Monday.com platform promptly upon receipt, ensuring no critical information falls through the cracks.
- Database System Utilization: Follow program guidelines for the use of all required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and any other platforms as needed.
- File Organization: Maintain organized digital and paper participant files in strict accordance with program guidelines, ensuring full compliance with agency and funder requirements.
- Team Collaboration: Work closely with program staff to support, enhance, and promote communication and consistency in the delivery of services to our clients.
- General Clerical Support: Assist with various clerical duties, including filing, mailings, phone coverage, and other administrative tasks as needed.
- Remote Work Availability: Maintain consistent availability for remote work, including attending virtual meetings, responding to emails promptly, and conducting regular duties as required.
- Professional Development: Attend all required staff meetings, supervision sessions, training programs, and contractual meetings to stay current with program requirements and best practices.
- Training Participation: Participate in mandatory agency training and pursue other relevant professional development activities to enhance your skills and knowledge.
- Confidentiality: Ensure strict confidentiality is maintained in all aspects of the role, protecting sensitive client information at all times.
- Additional Duties: Perform related work as required, adapting to the evolving needs of the program and organization.
Essential Qualifications
- Education: Associate degree or equivalent professional experience in a relevant field.
- Experience: Minimum of two years of experience in Human Services or a related field, OR applicable work experience working with diverse individuals and families with low incomes.
- Substitution Policy: Additional appropriate education may be substituted for experience, and additional directly related experience may be substituted for education on a case-by-case basis.
- Technical Skills: Proficiency in Microsoft Office applications, particularly Excel and Word, with the ability to quickly learn new software systems.
- Communication Skills: Strong written and verbal communication abilities, with the capacity to interact professionally with colleagues and clients.
- Organizational Abilities: Exceptional organizational skills with the ability to manage multiple tasks and deadlines effectively.
- Attention to Detail: Meticulous attention to accuracy in all aspects of data entry and record maintenance.
Preferred Qualifications
- Language Skills: Bilingual in Spanish and English, with the ability to communicate effectively with Spanish-speaking clients and community members.
- Local Knowledge: Familiarity with the Fitchburg, MA area and surrounding communities, including understanding of local resources and services.
- Human Services Background: Previous experience working in nonprofit organizations or government assistance programs.
- Technical Background: Familiarity with case management systems, customer relationship management (CRM) software, or similar database platforms.
