What You'll Do
As a Customer Service Representative at arenaflex, you'll play a vital role in our healthcare support operations. Your responsibilities will include:
- Correspondence Management: Responsible for typing, merging, proofreading for clarity, printing, and mailing correspondence with meticulous attention to detail.
- External Communication: Communicate verbally and in writing with external customers to furnish and request review information professionally and accurately.
- Relationship Building: Foster effective working relationships between arenaflex's internal and external customers through exceptional service delivery.
- Process Improvement: Assist with and participate in Review Team activities to identify areas for potential improvement, as noted on case reviews and processes.
- Helpline Support: Answer the Beneficiary Helpline through the utilization of the hunt group and available light functions. Determine how to best assist callers either by a service offered by arenaflex or by referring them to an external agency, and properly enter referrals into the CMS system.
- Quality Assurance: Ensure all letters are sent out in a timely manner with correct components included, reviewed for grammatical and spacing errors.
- Documentation: Get and validate notices and all components of medical records with precision and accuracy.
- Appeals Intake: Provide intake for all appeals received by arenaflex, handling each case with care and attention.
- Compliance: Maintain proficiency in customer service guidelines and standards at all times.
- Quality Control: Utilize internal quality control tools to assess individual work and team processes, continuously striving for excellence.
Qualifications We're Seeking
Education and Training
- High school diploma or equivalent required.
- Post-high school business courses are helpful but not required.
- Medical terminology knowledge is highly desired.
Essential Skills and Competencies
- Communication Excellence: Excellent verbal communication skills with a courteous and patient demeanor. You must be customer-oriented and have the ability to maintain composure under potentially stressful situations.
- Written Communication: Strong grammar, punctuation, spelling, hyphenation, and written communications skills are essential for this role.
- Customer Focus: Results-oriented with the capability to build and maintain relationships with both internal and external customers.
- Team Player: Must be flexible and able to work as a supportive team member while supporting team decisions.
- Technical Proficiency: General knowledge of PC-based computer systems. Knowledge of various software packages with the ability to learn additional software packages as needed.
- Multitasking: Must be able to multitask effectively and prioritize assignments based on urgency and importance.
- Organization: Strong organizational skills with the ability to work independently with minimal supervision.
Experience Requirements
- Two to three years of clerical experience required, including word processing, various filing systems, and telephone customer service responsibilities.
- Prior work in a healthcare setting or medical terminology is strongly recommended.
- Previous data entry or other clerical experience is a plus.
