We’re hiring a remote Administrative Assistant to support day-to-day operations, coordinate communications, and help keep projects and schedules on track. This role reports to [Hiring Manager/Team] and requires strong organization, clear written communication, and comfort using common remote-work tools.
Key responsibilities:
Manage calendars: schedule, confirm, and reschedule meetings across time zones; prepare agendas and follow-up notes.
Email and inbox management: triage incoming messages, draft/reply on behalf of executives, and escalate high-priority items.
Communication coordination: act as primary point of contact for internal teams, clients, and vendors; route requests and maintain tracking.
Travel and logistics (as needed): research and book travel, prepare itineraries, and handle expense reporting.
Document and file management: create, format, and maintain documents, spreadsheets, and shared folders; ensure version control.
Meeting support: set up virtual meetings, manage conferencing tools, record minutes, and distribute action items.
Project support: assist with status tracking, task follow-ups, and basic project documentation.
Office administration: order supplies, manage vendor relationships, and process invoices or reimbursements per policy.
Continuous improvement: identify and implement process improvements to boost team efficiency.
